Macfadden & Associates DRC, a branch of Macfadden & Associates Inc., an Amentum company, has provided the U.S. Agency for International Development (USAID)/Bureau for Humanitarian Assistance (BHA) with disaster preparedness, response, and recovery as well as technical and administrative support services since 1993. Through the DRC Logistics and Administrative Program (DRC LAS) Macfadden has been supporting BHA in the DRC in both North and South Kivu Provinces, providing BHA DART teams, Centers for Disease Control (CDC), and the Ministry of Health (MOH) with logistics and technical support.

Background

The purpose of this project is to provide logistic and administrative services to USAID/BHA staff, USAID/DRC Mission staff, and authorized United States Government (USG) temporary duty (TDY) personnel while they are traveling primarily in North, South Kivu and Haut Katanga provinces in Democratic Republic of the Congo (DRC) for official business. DRC-LAS is in the process of establishing a small office based in Lubumbashi to better support the United States Government (USG) staff traveling to the south of the DRC.

Position

Macfadden is looking for an Operations and Administrative Assistant for the DRC-LAS Lubumbashi office. The administrative assistant will be based full time in Lubumbashi ensures and will serve as the senior most representative for DRC-LAS for activities in the Haut Katanga provinces. This position will require interfacing with the DRC-LAS customer – USAID, provision of direct management and oversight of program vendors, supervision of Lubumbashi based staff, management of office operations, including personnel and financial management, reporting and safety, and covering all administrative support activities and coordinates the purchase of equipment and administrative supplies for operations in. The administrative assistant reports to the DRC-LAS program manager.

Term of Employment

Full-Time. From date of hire to on/about September 14, 2025.

Responsibilities (but not limited to):

  • Provide overarching operational and administrative management of Lubumbashi office and staff

  • Supports the DRC-LAS Program Manager with all Project activities in Haut Katanga Province

  • Responsible for all document management and reporting for DRC-LAS Lubumbashi office’

  • Coordinate with the Logistics and Security Assistant to support all DRC-LAS travel logistics planning and delivery of services.

  • Act a petty cash custodian and ensure management of office petty cash

  • Manages all project and team activity calendars and schedules.

  • Works with the Logistics and Security Assistant in obtaining vendor quotes, providing comprehensive procurement related support, organizing meetings, calls, conferences and any other events requested by PM in support of USAID.

  • Creates and manages a professional filing system for the project

  • Assist with all reservations

  • Leads the establishment of and close out of the Lubumbashi office, including furnishings and negotiations/liaising with the selected landlord

  • Responsible for the cleanliness of the office, cleaner and gardener

  • Provide necessary inputs for project reports.

  • Supports the integration of new staff from an administrative point of view.

  • Assist the Program Manager Assistant in the preparations and recording of financial data in the ONBASE system

  • Responsible for office correspondence

  • Provide the protocol service at the airport if necessary

  • Perform other tasks as assigned.

Qualifications:

  • Degree in business administration, logistics, security, geopolitics or related field preferred

  • At least 3 years ‘of experience in office operations and management and/or administration, security and logistics

  • Strong computer skills: Microsoft Office applications.

  • General business administration experience preferred.

  • Ability to travel on short notice throughout the region as requested.

  • Strong leadership and decision-making skills preferred

  • Excellent communications skills required. Proficiency in written and spoken French required, with proficiency in English preferred

  • Experience with supporting international organizations, USAID and other development agencies preferred.

  • Ability to work in independently and as part of a team required

  • Ability to work in rapidly changing and conflict-prone areas.
