Responsibilities

What you'll be challenged to do:

The Fleet and Safety Compliance Administrator will have the ability to exercise authority and be the subject matter expert in a variety of situations, with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities. This position requires knowledge and understanding of many federal and state regulatory guidelines including FMCSA, FRA, and OSHA. Being able to research and understand varying topics and implement successful compliance programs from the ground up is a must. Primary Responsibilities (others may be included):

  • Researches, designs, and implements t he FMCSA compliance program, including medical surveillance and drug testing programs across states where TranSystems operates.
  • Responsible for maintaining the driver qualification and eligibility processes, including MVR, Driving Experience, Physicals, Drug Testing, and criminal and work background checks in accordance with DOT requirements and company policies.
  • Administers the FR A Part 219 compliance program, including random drug testing scheduling.
  • Maintains and monitors contract subscription services to maximize tools for full effect, benefiting TranSystems and employees. Ensures pe rsonnel are entered into these systems and client-compliant training is completed.
  • Serves as the employees and TranSystems advocate for vehicle and workers comp claims. Monitors vehicles through the accident process, minimizing operational delays. Ensures injured employees understand the workers comp process and build upon the return-to-work policy.
  • Tracks claims related to injury and accidents for dashboard reporting to leadership.
  • Identifies techniques to minimize lost time and claims cost (e.g., subrogation).
  • Responsible for Fleet and Safety onboarding and training programs. This includes but is not limited to educating on policies and practices, creating new program materials, maintaining a list of approved driver authorizations, and working with underwriters each year to minimize insurance premiums.
  • Manages the maintenance and compliance around the Fleet and Safety programs. Responsibilities include but are not limited to auditing and administering fuel cards, maintaining and administering fleet contracts - ensuring vendor compliance, coordinating maintenance schedules, etc.
  • Reviews speeding tickets or moving violations for fleet vehicles and conduct remedial training as needed.
  • Performs audits on terminations for drivers to ensure TSC satisfies all DOT and Non-DOT compliance standards.
  • Maintains and refines internal processes that support operational goals. Provides recommendations and coordinates internal and external resources to update.
  • Acts as point of contact for Fleet and Safety programs. Communicates directly with internal and external stakeholders on various projects and prioritizes proprietary email messages to quickly identify and manage goals and objectives.

Qualifications

What you bring to our firm:

Associates degree in relevant field, or two years of additional relevant experience in lieu of degree.

Four (4) years of relevant experience gaining knowledge in safety and fleet regulations including FMCSA, FRA, and OSHA.

Proficient with Word and Outlook.

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures or governmental regulations. Ability to read and interpret documents such as operating and maintenance instructions and procedure manuals. Ability to write reports, business correspondence, and procedure manuals.

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
