University of North Florida Academic Support Specialist in Jacksonville, Florida

Nature of Work: This is work performing one or more specialized functions within the assigned department. May assist in the design, development and implementation of departmental processes and/or programs. May recommend policies and procedures to ensure effective coordination of departmental programs.

Typical Responsibilities: Provides administrative support in area of expertise. Works collaboratively with university staff to ensure departmental and organizational success. Assists in developing and conducting best business practices. Maintains communications with other departments and vendors on departmental business needs. During declared campus emergencies, this position may be required to perform specific job related duties at a designated off campus location or place of residence.

Required Qualifications: A Bachelors degree from an acceptable accredited institution in a directly related area of specialization; or a high school diploma and four years of experience directly related to the job functions. Directly related college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

General Description / Primary Purpose: The Academic Support Specialist, under the direction of an Assistant Director or above, assists in the design, development and implementation of departmental processes and/or programs. Recommends policies and procedures to ensure effective coordination of departmental programs

Job Function Performs one or more advising administrative functions while working directly with online program applicants and students and families to answer educational questions and concerns. Provides one-on-one assistance to the public in person, over the telephone, and through e-mail or other written correspondence. Assists with typical front desk duties (greets visitors, answer phone calls, monitor Zoom walk-ins, schedule

appointments/meetings)alongside the BCH Advising administrative assistant as needed. Performs related duties as required or deemed appropriate to the accomplishment of the responsibilities and functions of the department. Problem solves and trouble shoots. Collects and analyzes data as appropriate with discretionary use under FERPA rules, for use in handling all student activities. Assists university/Board of Trustees/Board of Governors administrators and institutional groups in resolving specific academic success and/or registration problems and in disseminating information in regard to SUS /university rules, policies, and contracts. May serve as liaison between university administrators, students, parents, faculty, staff, and others regarding advising

activities.

Respond to, or forward to other university staff/faculty as appropriate, inquiries made regarding Brooks College of Health (BCH ) online programs.

Attend online program-related meetings as necessary.

Contact online program candidates prior to enrollment purge re: non-payment, missing onboarding requirements.

Apply and lift program-related holds (related to #3)

Complete student call and email campaigns as assigned (e.g. Registration reminders, Payment deadline reminder, Graduation application reminders, etc.)

Assist online program directors and students with any questions and/or issues.

Check submission of Waiver Request Forms and forward submissions to program director for review. Alert Online Academic Advisor of any approved waivers so that she can process the waiver.
