Canopy Children's Solutions Administrative Assistant Ridgeland in Jackson, Mississippi
- The Administrative Assistant answers all incoming calls for The Canopy School; greets and directs visitors who enter the school. Responsible for assisting principal with funding deadlines for the Mississippi Department of Education. Will help maintain a safe, physical school environment. Accountable for maintaining financial records for the school. Additional responsibilities are assigned as needed.
Job Responsibilities:
Guest Relations
- Answers incoming calls for CARES School and connects caller to appropriate staff.
- Greet visitors to the school and arrange visits with students and/or school personnel.
- Takes and delivers messages as needed.
- Ensure that guests are aware of no smoking policy on campus.
- Ensure that guests sign a confidentiality sheet upon arrival.
Staff/Student Support
- Respond appropriately to requests for materials and supplies by teachers.
- Complete daily attendance reports.
- Submit daily lunch count to cafeteria and pick up lunches.
- Mail notices, report cards, progress reports, etc. to parents as needed.
- Administers student medication twice a day, maintaining all procedures for student assisted administration including the Medical Administration Record and consents for medication.
- Check students' absences daily, make phone call to guardians of absent students, send notification to school districts of absences on a daily basis.
Safe Environment
- Monitors Environment of Care on a monthly basis.
- Maintains a housekeeping supply inventory list.
- Ensure maintenance needs reported.
Maintain list of needed repairs throughout the program.
Accounting Support
- Records and maintains petty cash on a weekly basis.
- Completes weekly payment requisition and charge account forms.
- Completes travel/mileage reimbursement as needed.
- Coordinates purchasing for the school.
- Maintains supply closet and ordering supplies.
- Perform other duties as assigned.
Funding Support
Prepares and submits Official Reports including:
- Educable Child Project
- State Department of Education Personnel Reports (MSIS)
- State Department of Education Accreditation Reports
- State Department of Education Extended School Year Project
Performs other duties as assigned.
Required Qualifications:
- Associates Degree or completion of 2 years of college required or a minimum of three years' experience in clerical position.
- Must be able to read, write, speak and understand English, and be able to communicate in a therapeutic and professional manner.
- Skills in word processing, school records management, computer knowledge, and basic accounting or bookkeeping required.
Must have a safe driving record and be eligible for certification as a Notary Public.
