About the Food Science Department

The Opportunity


The Administrative Assistant oversees daily operations at the Dairy Operation Sales Office, managing orders from various campus locations and some off-campus clients for Cornell Dairy products. Their responsibilities include coordinating tasks essential for the smooth functioning of the office and ensuring efficient order processing from a diverse range of customers, including dining halls, fraternities, sororities, and external locations.


Key Responsibilities

  • Communicate with customers in person and over the phone, including taking orders and addressing any order-related issues.
  • Ensure accurate and timely invoicing to all customers, as well as follow-up on unpaid invoices.
  • Assist the Dairy Operations Manager in posting and processing all accounts receivables and payables.
  • Maintain and update the inventory database and monthly statements.
  • Support the development and implementation of special event promotions for the Dairy Operation, such as graduation, reunion, and other major campus events, to showcase their products.

  • High School Diploma and 2 to 4 years of relevant experience, or equivalent combination.
  • Knowledgeable of Microsoft Office.
  • Experience in invoicing and taking payments.
  • Exceptional customer service skills.
  • Strong ability to build meaningful connections with customers.

  • Patience and understanding in addressing customer issues.
  • Experience in or demonstrated commitment to supporting diversity, equity, access, inclusion, and wellbeing.
  • Ability to work independently with minimal supervision.
  • Must be personable, flexible, and possess excellent organizational and communication skills, taking pride in their work.
  • Outstanding organizational skills and ability to multitask in a fast-paced environment, with the capacity to communicate tactfully and diplomatically to various internal and external stakeholders.
  • Ability to develop effective working relationships with a diverse customer base, including students, faculty, staff, and vendors.
  • Must be capable of lifting 10-20 lbs.

  • Two years of college coursework, an Associate's degree, or equivalent.
  • Proficiency in Microsoft Office and QuickBooks.
  • 1-2 years of experience in business and marketing.
