Aston Carter Entry Level HR Admin in Irvine, California

Position Overview:

We are seeking a detail-oriented Leave of Absence (LOA) Coordinator to provide comprehensive management of leave of absence claims, collaborating closely with our third-party administrator. This role is pivotal in ensuring effective oversight and support throughout the LOA process, while fostering strong relationships with HR, management, and employees.

Key Responsibilities:

  • Claim Management: Oversee leave of absence claims, ensuring compliance and accuracy with the support of our third-party administrator.

  • Data Analysis: Analyze and track data related to denied leaves and employees who do not return post-leave. Collaborate with HR and management to facilitate the return of employees to work or initiate appropriate actions.

  • Agency Coordination: Respond promptly to inquiries from state agencies regarding state-paid disability and leave programs.

  • Customer Service Excellence: Provide timely responses and expert guidance to all LOA inquiries, ensuring a positive experience for all employees.

  • Collaboration: Support day-to-day outsourced LOA administration while building strong relationships with HR, benefits teams, managers, and corporate counsel.

  • Audit and Compliance Support: Assist management and colleagues with specific audit and compliance projects, ensuring all processes are in line with company policy.

  • Interactive Process Engagement: Engage with managers and HR in the interactive process for reasonable accommodations, documenting each step thoroughly.

  • Communication Liaison: Act as the primary point of contact for communications (phone, email, and mail) regarding all leaves of absence and related processes.

  • Training and Instruction: Educate employees and train management and HR staff on proper procedures for all types of leaves, including conducting "interactive process discussions" training.

  • HRIS Management: Maintain the Leave of Absence module within the HRIS (WinTeam, by TeamSoftware).

  • Leave Integration Oversight: Oversee the integration of various leave types (e.g., Workers’ Compensation with FMLA) and their interactions with benefits, payroll, and other functions.

  • Special Projects: Undertake special projects as assigned to support departmental goals.

  • Excel Proficiency: Utilize advanced Excel skills for data management, including extensive use of pivot tables and VLOOKUPS to analyze large datasets related to employee leaves.

Additional Skills & Qualifications:

  • Minimum of 2 years of experience in Leave of Absence management, or a college degree with an emphasis in HR or relevant internship experience.

  • Proficiency in Microsoft Excel, with experience in pivot tables and VLOOKUPS.

  • Knowledge of HRIS systems is a plus; experience in leave and benefits integration is beneficial but not required.
