Description We are in the process of recruiting an Administrative Assistant, based in Irvine, California, to provide pivotal support within our team. This role is central to our operations, with a focus on customer service, data management, and administrative duties. We are offering a contract to permanent employment opportunity.
Responsibilities:
• Accurately and efficiently process customer credit applications
• Maintain up-to-date customer credit records
• Resolve customer inquiries in a timely and detail oriented manner
• Monitor customer accounts and take necessary action when required
• Ensure all customer-related paperwork is organized and properly filed
• Upload and scan documents to the database as needed
• Make outbound calls to address any pending issues
• Liaise with state representatives regarding concerns or issues
• Handle payment of outstanding bills
• Assist with ad-hoc projects as necessary
• Utilize Microsoft Office Suite (Excel, Outlook, PowerPoint, Word) for various tasks
• Schedule appointments and manage calendars as requested
• Perform data entry tasks and manage email correspondence. Requirements • Proven experience in answering inbound calls, demonstrating excellent communication and problem-solving skills
• Strong customer service skills, with a focus on delivering high-quality support to both internal and external stakeholders
• Demonstrated ability in data entry, with a high degree of accuracy and attention to detail
• Experience in managing email correspondence, with the ability to prioritise and respond to emails in a timely manner
• Ability to handle both inbound and outbound calls, showcasing excellent multitasking skills
• Proficiency in Microsoft Excel, with the ability to create and manage spreadsheets
• Experience in using Microsoft Outlook for email communication, scheduling meetings and managing calendars
• Proficiency in Microsoft PowerPoint, with the ability to create impactful presentations
• Experience in using Microsoft Word for creating and editing documents
• Proven ability to manage and schedule appointments, ensuring all appointments are accurately recorded and updated
