Robert Half Sr. Administrative Assistant in Indianapolis, Indiana

Description

We are looking for a diligent Sr. Administrative Assistant to assist our client on the NW side of Indianapolis, IN. As a Sr. Administrative Assistant, you will be the first point of contact for our company, answering inbound calls (low volume), coordinating meetings, and providing administrative support to executives and leadership. This position offers a long-term contract employment opportunity slated to last through the end of 2024.

There is a possibility this position could turn into permanent employment, but that is not guaranteed.

Responsibilities:

• Answer and direct phone calls in a polite and friendly manner

• Coordinate and schedule meetings, ensuring all parties are informed and prepared

• Utilize strong communication skills to interact with team members and customers

• Assist with administrative duties, maintaining an organized and efficient workspace

• Utilize skills in calendar management to keep track of appointments and deadlines

• Ensure proper documentation of meetings and important decisions

• Provide executive assistance support when needed

• Serve as a friendly and personable figure in the office, fostering a positive work environment

• Handle customer inquiries, resolving issues promptly and professionally

• Assist in the organization and execution of executive meetings.

Requirements • Must hold a minimum of 2 years of experience in an administrative role

• Proven skills in Calendar Management, ensuring schedules are effectively coordinated and maintained

• Strong Communication skills, both written and verbal, to facilitate effective interaction within and outside the team

• Experience in Meeting Coordination, including scheduling, preparing agendas, and following up on action items

• Demonstrable expertise in providing Administrative Assistance such as document preparation, filing, and office organization

• Experience in Answering Inbound Calls, responding to inquiries, and directing calls as necessary

• Prior involvement in Executive Meetings, including preparing materials and taking minutes

• Ability to use standard office equipment and software

• Strong problem-solving skills, attention to detail, and ability to maintain confidentiality

• High school diploma or equivalent required, higher education or certifications in related fields are preferred.
