FinishMaster Customer Data Administrator in Indianapolis, Indiana

The Customer Data Administrator reports directly to the Customer Data Manager. This fast-paced position requires interaction with Operations, Sales, Customer Support Services, Accounting, Supply Chain, Information and Technology departments, and external customers. This position is responsible for adding new vendor and customer accounts, maintaining existing accounts and relationships, verifying and maintaining sales tax exemption status for customers in JD Edwards EnterpriseOne.

ESSENTIAL FUNCTIONS:

  • Manage and process credit and cash applications for new accounts received via phone, fax, ServiceNow, or other electronic communication utilizing documented guidelines.

  • Accountable for validity, accuracy and completeness of all information added.

  • Researches and resolves any discrepancies by contacting responsible parties and/or customers to verify the information.

  • Communicates new account information to appropriate parties.

  • Change existing account information utilizing documented guidelines. Responsible for accuracy and completeness of all information added.

  • Enter approvals, denials, and payment terms for customer credit accounts and maintain proper documentation.

  • Creates new customer welcome letters.

  • Creates new customer denial letters.

  • Enter and maintain Account Manager assignments per requests from Sales Managers.

  • Handle internal and external requests related to account master structure and relationships

  • Understanding and reviewing account structure.

  • Understanding and reviewing customer hierarchy/relationship.

  • Verify customer sales tax exemption certificates for completion and accuracy.

  • Validate per each state’s rules and regulations.

  • Navigate each state’s sales tax website.

  • Maintain basic understanding of sales tax calculations from Oracle EnterpriseOne and Vertex sales tax software.

  • Enter appropriate customer coding for Oracle EnterpriseOne and Vertex systems to ensure proper application of sales tax.

  • Assist external and internal customers with sales tax questions and general account information.

  • Responsible for researching and calculating sales tax credits due customers. Provide the necessary documentation to the Sales Tax Analyst in Accounting to apply the credits to customer accounts.

  • Maintain customer exemption certificates and update expired certificates as needed.

  • Assist with internal and external sales tax audits.

  • Stores sales tax certificates electronically.

  • Electronically file all documents.

  • Integrate acquisition customers as needed.

  • Record details of account activities in EnterpriseOne for future reference by the Address Book department or other departments within the company.

  • Document activities in work order system ServiceNow.

  • Provide feedback and recommendations to the Account Master Team Lead to improve processes and Address Book efficiencies.

  • Assists Customer Data Manager in maintaining departmental documentation of standard operating procedures.

  • Reviews daily exception reports to validate new account activity/changes meet company standards and accuracy.

QUALIFICATIONS:

Experience & Competencies:

Mandatory-

  • 2+ years of experience in a customer service role.

  • Self-motivated, confident with strong organizational skills.

  • Ability to prioritize and complete tasks with minimal supervision.

  • Adaptable with ability to switch tasks based on shifting priorities.

  • Detail oriented and high accuracy level.

  • Analytical thinker with demonstrated talent for identifying and improving work process.

  • Ability to communicate clearly and professionally in written and oral communication.

  • Proficiency with MS Office and computer systems.

Preferred-

  • JD Edwards EnterpriseOne experience.

  • Vertex experience.

  • ServiceNow experience.

  • Associates degree with business emphasis or equivalent work experience.
