Role Overview:

The Indiana Department of Correction Parole Division is seeking a highly skilled and detail-oriented Specialist to join our team. This position is a full-time role reporting directly to the SOMM Director. The Specialist will play a crucial role in supporting various program initiatives, ensuring efficient operations, and contributing to the overall success of our department division.

Key Responsibilities:

  • Data Monitoring and Tracking: Monitor and maintain tracking data related to departmental programs. Ensure data accuracy and integrity.

  • Presentations: Prepare and deliver presentations on various topics to internal and external stakeholders using Microsoft PowerPoint.

  • Software Proficiency: Utilize Microsoft Excel, PowerPoint, and Adobe products to perform daily tasks, including data analysis, report generation, and document creation.

  • Support Director: Provide administrative and operational support to the Director, including preparing reports, coordinating meetings, and assisting with project management.

  • Collaborative Work: Work closely with other team members to ensure program goals are met and provide assistance where needed.

    Required Qualifications:

  • Proficiency in Microsoft Excel, PowerPoint, and Adobe products.

  • Presentation skills with experience in delivering information to varied audiences.

  • Strong organizational skills and attention to detail.

  • Ability to work independently and as part of a team.

    The essential functions of this role are as follows:

  • Monitoring and tracking Parole Violators at intake facilities

  • Monitoring and tacking of Lifetime Parole data

  • Present at parole academies and additional trainings.

  • Attend and actively participate in SOMM containment team meetings.

  • Monitoring and tracking and correction SOMM and Lifetime Parole in Delta.

  • Monthly SOMM and Lifetime Parole Reports

  • Assists in Policy review and updates

  • Monitoring of all out of state apprehensions from the time that individuals are taken into custody until extradited or discharged.

  • Coordinate the interstate transport of incarcerated individuals, providing instruction and counsel to various Indiana correctional facilities and parole staff.

  • Arrange for interstate transfer of incarcerated individuals which are treated as high security transports.

  • Coordinate and assign staff to carry out high security transportation details, make necessary arrangements, and complete an operations order for each transport.

  • Ensure semi-annual progress reports are completed and received for all incoming and outgoing Interstate Corrections Compact transfers.

  • Arrange for annual site inspections at interstate facilities housing Indiana offenders.

  • Assist agents with field visits, transports, and supervision of parolees as needed.

  • Assist with phone and mail responses.

  • Maintain availability for after-hours issues.

  • Other duties as assigned.

    Salary Statement:

    The salary for this position traditionally starts at $53,222.00 but may be commensurate with education or work experience.

A Day in the Life:

The essential functions of this role are as follows:

  • Monitor key performance indicators to ensure program effectiveness.

  • Assist in developing, updating, and monitoring all policies and procedures related to the program area.

  • Answer customer questions about program policies and procedures.

  • Act as technical consultant to stakeholders to clarify and interpret policies and procedures.

  • Prepare and disseminate monthly and annual program reports.

  • Review the budget and program assets are allocated appropriately.

  • Monitor compliance and make recommendations to the program to increase efficiencies.

  • Prepare training materials and train agency employees on program requirements and usage.

  • Deliver communication plans and communications.

  • Serve as a liaison between agency and other state and federal agencies.

  • Recruit, select, onboard, and train employees to ensure role responsibilities and expectations are clearly understood while providing opportunities to continue professional development.

  • Set expectations, measure progress, provide ongoing feedback, and evaluate the performance of employees. Ensure work adheres to quality standards, deadlines, and proper procedures.

  • Working knowledge in program subject matter obtained through experience and/or education.

  • Specialized knowledge of program area including pertinent rules and regulations.

  • Basic knowledge of all source materials and references including federal and state laws governing the programs.

  • Ability to implement new principles and policies and discern any far-reaching implications.

  • Ability to communicate effectively.

  • The ability to apply general rules to specific problems to produce answers that make sense.

  • Ability to work effectively with a wide variety of stakeholders.

  • Working knowledge of accounting and budget principles.

  • Ability to establish and maintain a working-relationship with staff and offenders.

  • Ability to delegate work, set clear direction, and manage workflow.

  • Ability to effectively give feedback, provide guidance or corrective action, coach, and develop employee skillsets.
