Description We are offering a contract to hire employment opportunity for an Administrative Assistant in INDIANAPOLIS, Indiana. Working in the service industry, this role involves handling incoming calls, maintaining records, and assisting clients in a professional manner.

Responsibilities include:

• Handling incoming calls in a professional manner, taking detailed messages, and directing calls as necessary.

• Ensuring that Health & Safety is a priority by adhering to the company's policies and processes.

• Welcoming clients and potential clients with a positive and friendly demeanor, and informing the relevant employee of their arrival.

• Assisting in the rotation schedule for answering the main switchboard during specified hours.

• Maintaining accurate records and logs in the company's system, including timesheets, job files, purchase orders, and log sheets.

• Performing backup duties for the Administrative Assistant, including payroll calculations and distribution of information to appropriate personnel.

• Assisting with accounting and bookkeeping duties such as coding invoices, expense reports, and receiving purchase orders.

• Preparing, reviewing, and updating daily, weekly, and monthly reports as required.

• Receiving, notifying, and organizing letters, packages, and other incoming mail.

• Contacting vendors for pricing, ordering, and maintaining necessary supplies.

• Operating office equipment such as calculators, fax machines, and scanners, and ensuring efficient office workflow procedures are followed. Requirements • A minimum of 3 years of experience in an administrative role or similar

• Proficiency in performing data entry tasks with accuracy and efficiency

• Excellent typing skills, including numeric data entry

• Strong organizational skills with the ability to manage and maintain files and records

• Advanced proficiency in MS Excel and MS Word

• Experience in handling various administrative tasks in an office setting

• Strong communication and interpersonal skills

• Ability to work independently and as part of a team

• Strong problem-solving skills and ability to manage multiple tasks simultaneously

• High attention to detail and accuracy

• Demonstrated ability to maintain confidentiality and handle sensitive information with discretion

• Strong time management skills and the ability to prioritize work

• Professional and positive attitude towards work responsibilities.
