Aston Carter Administrative Assistant in Indianapolis, Indiana
Description
What You’ll Do:
• Assist Learning & Development Manager in the creation and upkeep of SharePoint sites and Content Management Systems.
• Serve as Training Coordinator for the team, ensuring that they are being assigned to the correct mandatory trainings
• Support other SharePoint sites owned by functional leaders.
• Manage calendars by scheduling appointments and meetings for function leaders.
• Manage organizational announcements and internal distribution lists
• Screen and prioritize incoming communications, including calendar invitations.
• Handle sensitive and confidential information with utmost discretion and integrity.
• Organize/plan large meetings and events including agenda development.
• Act as a primary point of contact with external/internal stakeholders, liaising to ensure smooth workflow and communication.
• Prepare and edit documents, presentations, and correspondence.
• Manage expense reports for functional leaders.
• Arrange domestic and internal travel for functional leaders and assist in international travel for extended team.
• Coordinate, support, and oversee special projects as needed.
This position utilizes a hybrid schedule with the flexibility to work in the office a minimum of 3 days per week.
Additional Skills & Qualifications
Experience: Minimum 2 years in recent Administrative role
Skills: Proficiency in Microsoft Word, Excel, PowerPoint, and SharePoint. Experience managing travel and expenses (Concur preferred).
Attributes: Motivated, able to work in a fast-paced environment, multi-task, prioritize, and collaborate well with others.
Experience with Content Management Systems.
Experience working for a global company.
Proficiency in Microsoft TEAMS and Power BI.
Quick learner with new software.
Strong organizational and communication skills.
Positive attitude, flexible, and able to work under pressure.
Pay and Benefits
The pay range for this position is $20.00 - $22.00/hr.
