Fire - Business Office Manager I
The City of Idaho Falls is accepting applications for a Business Officer Manager I. This position performs a variety of
advanced-level general office and clerical duties as required to expedite the functioning of the Administrative Office of the Fire
Department requiring the exercise of independent judgement.
Essential Functions
Participates on the management team by assisting the Senior Staff in evaluating and formulating methods to promote and
facilitate the effective and efficient operation of the department toward achieving its strategic and operational goals.
Works closely with the Senior Staff on matters of a confidential or sensitive nature.
Prepares department correspondence, maintains personnel files, office files and records including a large volume of
confidential information.
Works closely with the Senior Staff to develop, design and prepare presentations, marketing materials, communications and
other general messaging coming from the Fire Department office.
Manages the Senior Staff\'s calendar and schedule for maximum efficiency/time management. Schedules meetings as
needed, works with those within the department and city to schedule time with the Senior Staff.
Maintains orderly and documented flow of all paperwork, legal documents, and signature items for Senior Staff; assists in
the preparation of reports, statistical data, and other correspondence; maintains office files and records including a large
volume of confidential information.
Works with the Senior Staff to prepare council memos and other general council correspondence as needed. Manages
documentation and records to ensure compliance with records retention and business need requirements as per policies

Works collaboratively with other Department Directors, the City Clerk\'s Office, Public Information Officer, Mayor\'s Office,
Legal Department, department leadership team along with general department personnel.
Makes travel arrangements for the Senior Staff including preparing travel requests, changes, and reconciliation.
Works directly with the Fire Chief and /or Deputy Chief to prepare and manage the departments fiscal year budget. To
include, but not limited to, data collection, data compilation, and presentation preparation. Prepares requisitions as well as
tracking and recording of all budget revenue and expenditures.
Works closely with the department Office Manager II to provide backup for each other during absences to maintain
continuity of work. Provides support for the Administrative Assistant as needed during times of increased workflow as
directed by the Senior Staff.
Provides backup for the Office Manager II in the following areas:
Credit card reconciliation, purchase orders and requests, personnel actions, Local 1565 seniority list, employee list
(promotion dates, wages, longevity), and coordination of commissioner meetings.
Military Leave/FMLA
Help in review of needed documentation of orders, assist in submission of paperwork required for city military leave
policy, and perform pay conversion as needed depending on orders and length of deployment. Assist with FMLA
paperwork submission, verify and track time used and available during FMLA leave, prepare, and submit timesheet for
payroll while on FMLA leave.
National Fire Incident Reporting System (NFIRS)
Check syst em weekly for NFIRS reports that need reviewed and completed, build monthly report for State submission ,
and provide training as requested on system usage.
