Duties & Responsibilities:

  • Prepare and implement all Standard Operational Procedures and Policies related to Facilities Management for BMS Hyderabad site.

  • Oversee the upkeep of indoor plants and take necessary action if required.

  • Oversee the pantry equipment and reprographic equipment operations, identify issues, and take necessary actions.

  • Take rounds of the facility regularly to identify issues in Housekeeping/Security and Cafeteria etc. and escalate the same to service provider. Ensure service provider rectifies the escalations and reports.

  • Be a part of the soft service Committee, Safety Committee, conduct monthly meetings with employees. Ensure escalations are noted and rectified.

  • Be accessible for all FM related escalations/ issues at site.

Oversee the Helpdesk work process:

  • Provide management advice to Helpdesk operators for escalated issues.

  • Ensure immediate response to Priority Calls/ FM tickets.

  • Ensure planning and execution of all preparation required for Conferences/meetings of the BMS Hyderabad as well as VIP visits scheduled at site.

  • Ensure approving Visitor entry tickets.

  • Track and report Helpdesk SN tickets and escalate pending issues/bottle necks.

Oversee the Mailroom process:

  • Provide management advice to Helpdesk operators for escalated issues.

  • Prepare and report Trackers/delays.

Oversee the Front Office function:

  • Ensure visitors are promptly attended to by the Front Office Executives (FOE).

  • Take rounds of the front office and lobby to ensure high standards of housekeeping and upkeep.

  • Ensure the FOE has placed newspapers and magazines in the reception.

Oversee the Housekeeping Services:

  • Seek data on turnout and attendance from Service provider on daily basis.

  • Take facility rounds and update HK in charge on rectifications.

  • Meet the housekeeping in charge to discuss and communicate priorities for the shift and address complaints.

Oversee Cafeteria Services:

  • Conduct Cafeteria Committee meetings.

  • Work with Service provider on implementing the minutes of meetings and corrective actions.

  • Ensure that the caterers maintain the highest standards of hygiene in the services area.

  • Ensure that the quality and quantity of the food supplies meet the BMS standards.

  • Track consumption analysis daily.

Hospitality Services:

  • Implement and review standards of services provided in housekeeping and catering.

  • Provide logistic support for events and visitor management.

Transport Services:

  • Oversee Transport operations.

  • Plan and deploy transport operations across DC's.

  • Explore innovative ways/alternative in transport management.

  • Work with service providers to address business continuity scenarios.

  • Negotiate and execute corporate deals with travel vendors.

  • Negotiate all terms and conditions with travel vendors.

  • Improve overall operational efficiency and SLA adherence.

Administration and logistics Services:

  • Review and recommend facilities/ Transportation related bills and documents for approvals.

  • Liaise with concerned authorities for regulatory compliance and company requirements.

  • Negotiate deals with vendors.

  • Review cost control measures for all areas and nurture vendor relations.

Infrastructure:

  • Coordinate with infrastructure team, suppliers, vendors, and service providers for timely and quality delivery of infrastructure.

  • Liaise with all regulatory bodies for obtaining statutory/ mandatory approvals and consents.

  • Oversee the progress of the project and report to Infrastructure department.

  • Certify invoices of vendors for payment.

Systems Process and Initiatives:

  • Participate/ represent company in community initiatives.

  • Standardize operational processes and strengthen periodic process audits.

  • Ensure provision of quality service standards.

  • Explore & facilitate improvement of services & new technology for enhanced efficiency.

  • Coordinate with internal teams for DC-EC initiatives.

  • Plan and adopt improvement initiatives as per company requirements.

Vendor Management:

  • Manage relationships with all facility management vendors and service providers.

  • Conduct regular vendor performance reviews and implement corrective actions as necessary.

  • Negotiate contracts, service level agreements (SLAs), and pricing with vendors.

Emergency Preparedness:

  • Develop and implement emergency response procedures and protocols.

  • Coordinate drills and training sessions for emergency situations.

  • Ensure compliance with all safety and emergency regulations.

Environmental Sustainability:

  • Implement sustainability initiatives to reduce environmental impact across facilities.

  • Monitor energy consumption and waste management practices.

  • Explore and implement green technology solutions where feasible.

Space Management:

  • Optimize space utilization and efficiency within the facilities.

  • Plan and coordinate office relocations, renovations, and expansions.

  • Maintain accurate records of space allocation and utilization.

Health and Safety Compliance:

  • Ensure compliance with all health, safety, and environmental regulations.

  • Conduct regular inspections to identify potential hazards and ensure corrective actions are taken.

  • Coordinate safety training programs for employees and contractors.

Financial Management:

  • Monitor and manage budgets related to facilities management.

  • Review financial reports, invoices, and expenditures.

  • Identify cost-saving opportunities without compromising quality.

Technology Integration:

  • Implement and manage facility management software systems.

  • Explore and adopt new technologies for enhanced operational efficiency.

  • Ensure integration with other company systems for seamless data flow.

Employee Engagement:

  • Foster a positive work environment through effective communication and engagement initiatives.

  • Organize employee recognition programs and events.

  • Solicit feedback from employees to improve facility services.

Continuous Improvement:

  • Lead continuous improvement initiatives across facility management functions.

  • Conduct root cause analysis for recurring issues and implement preventive measures.

  • Drive innovation and best practices within the facilities management team.

Experience and Qualifications:

BA/BS degree in a concentration related to facilities management or minimum 7-9 years relevant work experience candidate to provide Facilities Management support to BMS Hyderabad site. This role ensures timely completion of all FM reports, ensures implementation of SOPs and Policies across site.
