The VA School Certifying Official is responsible for maintaining the VA certifications for Hutchinson Community College. The Certifying Official will ensure all VA benefits are processed within VA policy guidelines and institutional procedures. The position requires a high level of ethics in the counseling of students.

RESPONSIBILITIES:

Essential Functions:

  • Administer the US Department of Veterans Affairs (VA) Educational Benefits at HutchCC.
  • Provide financial and academic advising services to veteran students.
    • Keep VA informed of the enrollment status of veterans and other eligible persons.
    • Keep State Approving Authority informed as instructed.
    • Assist VA students with applying for benefits.
    • Prepare schedules according to certificate and degree plans.
    • Maintain records and communicating responsibilities to students.
    • Facilitate seamless transitions to college systems and/or careers.
  • Apprise supervisors of any internal problems which may affect service to VA students.
  • Keep up to date on current VA rules and benefits.
  • Maintain records of VA students (38 CFR 21.4253 or 21.4254) and make records requested by VA/SAA available for inspection (38 CFR 21.4209).
  • Responsible for assisting new and continuing students throughout their enrollment, including reporting relevant student record data to VA for processing of Veteran education funding.
  • Certify Veteran student benefits while maintaining knowledge of benefit eligibility requirements.
  • Serve as primary point of contact for questions pertaining to Veteran Education benefits, from students and VA representatives.
  • Adjust, amend and terminate VA certifications accordingly to reflect current student courses.
  • Reconcile ledger cards with VA benefits and multiple funding sources.
  • Manage and submit enrollment and billing information for the MYCAA Program
  • Manage and submit enrollment and billing information for Tuition Assistance Programs for all branches.
  • Comply with all Federal, State, accreditation and institutional policies and procedures.
  • Prepare operational tracking reports as requested by management.
  • Assist with file reviews, audits and other regulatory requirements as needed.
  • Collect necessary documentation for completion of files.
  • Update all necessary systems with pertinent student information.
  • Verify enrollment to be certified with VA complies with Degree Plan Requirements.
  • Arrive on time for work, attend work regularly, and successfully complete the responsibilities of the position.
  • Comply with HutchCC policies, procedures, and practices.
  • Serve actively on campus committees.

Secondary:

  • Complete Academic Advisor training and maintain advising certification.
  • Develop intervention programming and implement retention procedures to address irregular attendance, lack of resources, and other concerns.
  • Maintain resource materials related to advising and career counseling, assisting with annualized course schedules and building enrollment schedules with students.
  • Verify student placements and enrollments including checking all pre-requisites are met.
  • Maintain a current schedule, update Memos after advising and follow-up with scheduling placement testing and other appointments.
  • Utilize multiple contact management delivery systems (e.g. virtual, text, call, chat, face-to-face, and/or email).
  • Inform students about alternatives, limitations, and possible consequences of academic decisions (e.g. adding, dropping, and withdrawing from courses; change of program, major, and/or transfer institution).
  • Par icipate in team and individual professional development; remain current with technology (SIS, CRM, Degree Audit, etc.) used to provide advising services.
  • Provide recommendations for continuous improvement in all service areas aimed at improving student persistence, enrollment, retention, and completion.
  • Perform other responsibilities as assigned by the Director or Assistant Director of Financial Aid.
