MD Anderson Cancer Center Sr Administrative Assistant Bioinformatics & Computational Biology in Houston, Texas
The Sr. Administrative Assistant performs highly responsible and complex administrative work, often of a confidential nature, in the Department of Bioinformatics, requiring considerable exercise of independent judgment, initiative and the ability to make decisions relative to efficient office operations while maintaining a thorough knowledge of institutional regulations, policies and procedures.
Key Functions
Provides administrative and departmental support:
Provides administrative support to assigned faculty, but not limited to, processing travel, reimbursements and other duties as required.
Provides administrative support to the office manager, but not limited to, inventory and supply management and other duties as assigned.
Provides back-up support for other administrative professionals as required.
Asset Management:
Remote and Onsite Inventory Management
Document the location of all equipment assigned to department org code (600815).
Update assigned equipment through the Computer Equipment Systems (CEMS) to ensure that all equipment is assigned to the appropriate user and to verify the location of all equipment. Update the system as required.
Keep a master spreadsheet of all past and present equipment assigned to all employees including updated address and recertification validation.
Maintain the Exit Employee equipment return spreadsheet, as well as designating equipment as returned to BCB stock, physician purchased equipment stock or return to warehouse.
Institutional and Purchased Stock Management
Maintain and update spreadsheet of all equipment in the storeroom, offsite, onsite and servers.
Report any discrepancies to office manager.
New and Existing Employee Equipment Management
- Initiate contact with qualified employee and provide equipment options based on department guidelines. Submit equipment requests for qualified employees in CEMS and provide an example of justification if required for advanced systems.
Computer Repair Replacement/Assistance
- Work with IT team to provide assistance and/or replacement of non-working or damaged systems.
Annual Inventory
- Perform inventory scans twice per year on all inventory in BCB storeroom, 13th Floor and Servers.
Decommissioned Equipment
Create requests for warehouse equipment returns through Road Runner Website or CEMS to return expired leased or purchased equipment or for equipment that is no longer in use.
Maintain return to warehouse spreadsheet and update as required.
Supply Management:
Organize and manage office supply room, including stock availability, new deliveries, and submission of restock request.
Check all printer kiosks, and replace, if necessary, toner and copier paper.
Coordination of Events and Other Department Activities:
- Assist office manager with coordination of department special events, including offsite and onsite employee and department celebrations.
EDUCATION:
Required: High school diploma or equivalent.
Preferred: Associates or Bachelor's degree.
EXPERIENCE :
Required: Five years of administrative/secretarial experience. With preferred Associate's degree, three years of required experience and with preferred Bachelor's degree, one year of required experience.
Preferred: Working knowledge of MS Office with advanced knowledge of Excel and/or other database applications. Advanced knowledge of inventory management as well as exceptional organizational skills.
OTHER:
Required: Must pass pre-employment skills test as required and administered by Human Resources.
