MD Anderson Cancer Center Senior Administrative Assistant - Hematopathology Admin in Houston, Texas

The hours for this position are 8am-5pm. This position will work 4 days onsite and 1 day remote.

JOB SPECIFIC COMPETENCIES

Administrative Functions

Provide administrative support to departmental faculty. Ensure timely and accurate submission of required reports. Perform general administrative functions, e.g., Input calendar entries, arrange conferences, arrange UPS/ FedEx shipments, format letters, reports, articles, memorandums, presentations, screen calls and take messages. Responsible for the maintenance and service office equipment in their area. Assist with the reporting and resolution of physical plant/facilities issues in their area. Responsible for coordination of travel activities (air and ground) for the departmental faculty. Ensures that all documents comply with the institution, division and department guidelines and policies. May be responsible for assisting in gathering documentation for faculty educational appointments and visa sponsorships.

Computer Applications Prepares complex/advanced documents using Microsoft office. Composes formal and informal correspondence, and formats presentations, using strong writing, word-processing, presentation and grammatical skills. Assist in creating and maintaining faculty's CV's, and NIH biosketch in the appropriate institutional format using institutional software and other software as needed.

Clinical and Financial related activities Pick up and distribute clinical cases to assigned faculty based on the service schedule. Responsible for creating purchase orders and reconciling assigned faculty PRS accounts. Maintain inventory of office supplies. May be responsible for financial transaction audits for the faculty's research accounts. Maintains accurate and current off-site equipment forms for assigned faculty. Prepares, submits and maintains Faculty extramural leave and PTO requests.

Other Administrative functions May be responsible for assisting with the process, submission and completion of research protocols. May be responsible for coordinating complex aspects and ensures timely submission of required documentation (electronically or by hard copy) for institutional and governmental grants.

Other duties as assigned

High school diploma or equivalent. Five years of administrative/secretarial experience. With preferred Associate's degree, three years of required experience and with preferred Bachelor's degree, one year of required experience. Must pass pre-employment skills test as required and administered by Human Resources.
