Robert Half Administrative Assistant in Houston, Texas

Description We are in search of an Administrative Assistant to join our team in Houston, Texas. As an Administrative Assistant, you will be at the forefront of our operations, ensuring the smooth running of office activities. This role will involve a wide range of tasks, from managing correspondence and maintaining a welcoming environment for guests, to carrying out office duties and managing challenging situations tactfully. This contract to hire employment opportunity is well-suited to a skilled multi-tasker who can adapt to a fast-paced work environment.

Responsibilities:

• Greeting guests upon their arrival and ensuring they are directed to the appropriate person and office

• Handling, screening, and forwarding incoming phone calls and emails

• Assisting in various office tasks such as filing, photocopying, and transcribing

• Keeping the reception area tidy and stocked with necessary stationery and material

• Writing and distributing business letters, emails, correspondence memos, letters, faxes, and forms

• Managing challenging situations tactfully and demonstrating diplomacy in difficult conversations

• Prioritizing tasks based on urgency and importance to effectively manage workload

• Providing support in ad-hoc tasks, demonstrating flexibility and adaptability

• Scheduling appointments and managing inbound and outbound calls

• Utilizing Microsoft Outlook and Microsoft Word for data entry and email correspondence. Requirements • Proficiency in Microsoft Word and Microsoft Outlook is a must

• Demonstrated ability to manage inbound and outbound calls

• Strong data entry skills required

• Excellent customer service skills, with the ability to handle inquiries and complaints professionally

• Experience in scheduling appointments and managing calendars

• Proven track record in email correspondence, with the ability to draft and respond to emails in a timely manner

• Ability to multitask and prioritize in a fast-paced environment

• Strong attention to detail and organizational skills

• Effective written and verbal communication skills

• Ability to maintain confidentiality and handle sensitive information with discretion.
