Job Description Summary

The Memorial Union and Business Support Assistant Manager manages, plans, and oversees events within and associated with the Memorial Union. They are instrumental in meeting with clients to identify and plan for event needs including coordinating set-up, tear-down, technology, and catering requirements. The Assistant Manager also conducts building inspections to ensure that cleanliness and safety standards are being met while providing excellent customer service to a wide variety of customers.

Essential Duties & Responsibilities (other duties may be assigned)

    1. Manage, coordinate, and oversee services, equipment, technology, catering, facilities and staffing for the execution of events and for the smooth operation of the Memorial Union.
  1. Ensure that consistent, high quality customer service is provided to all students, faculty, staff, and external customers.

  2. Establish a management presence in the building by regularly patrolling the facility, observing activity, and engaging with customers.

  3. Consult with internal and external customers regarding event logistics.

  4. Work a flexible schedule to manage building events with a priority on large and high-profile events which frequently occur during evenings and weekends.

  5. Conduct daily inspections of the Memorial Union building to ensure adherence to safety standards and identify maintenance and custodial needs. Process maintenance work orders and ensure completion.

  6. Partner with Facilities Management on the oversight of room set-ups, cleaning and maintenance of public spaces and overnight guest rooms.

  7. Collaborate and coordinate with Catering Services on catering needs for events.

  8. Oversee building security and lock-up as required. Maintain security for building keys. Assist in securing product and equipment inventories. Provide guest security when alcohol is being served.

  9. Resolve complaints and facilitate problem solving and satisfaction through continual interfacing with all customers.

  10. Execute event set-ups and teardowns as needed.

  11. Independently respond to inquiries and provide information on Memorial Union services, activities, and campus events.

  12. Apply, interpret, and enforce applicable Michigan Technological University and Memorial Union policies, procedures and guidelines.

  13. Provide functional supervision over Business Support Center staff. Assist with office coverage as needed.

  14. Lead efforts to develop and implement marketing initiatives to maximize utilization of Memorial Union event spaces and guest rooms.

  15. Provide a daily report for the day’s activities, damages, critical incidents, facility needs, and special occurrences.

  16. Conduct post-event evaluations to determine how future events could be improved.

  17. Ensure customer billing of reservations, services, and equipment.

  18. Assist customers in the event of an emergency and/or building evacuation.

  19. Oversee the organization of storage spaces within the Memorial Union.

  20. Work with vendors to obtain high-quality, cost-efficient equipment and supplies.

  21. Coordinate and oversee special facilities-related projects as requested, to include minor renovations or equipment replacement.

  22. Monitor utilities and implement measures to reduce usage and cost. Identify, champion, and implement sustainability initiatives.

  23. Assist the General Manager in preparing and monitoring the annual operating budget for the Memorial Union.

  24. Develop and document standards for training purposes.

  25. Operate University vehicles in a safe manner. Maintain clean vehicles. Report mechanical problems.

Required Education, Certifications, Licensures (minimum requirements)

  • • Associate’s degree or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.

Required Experience (minimum requirements)

  • • One year supervisory experience.

• Event Management Experience which includes coordinating logistics and directing event staff.

• Experience being responsible for a physical facility.

• Experience in a customer service environment.

• Experience using personal computers and word processing and spreadsheet/database software.

Desirable Education and/or Experience

  • • Bachelor’s degree or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.

• Experience supervising bargaining unit personnel.

• Managerial experience in a hotel or conference center.

• Experience working with sound systems and audio-visual hook-ups (VCR, DVD, LCD Projectors, microphones, overhead projectors, etc.)
