Key Responsibilities:
Executive Support: Provide high-level administrative support to senior executives, including managing schedules, coordinating meetings, preparing presentations, and handling sensitive information.
Calendar & Meeting Management: Organize calendars, schedule appointments across time zones, and coordinate internal and external meetings, ensuring alignment with business priorities.
Communication Liaison: Handle correspondence, screen calls, and prepare reports or responses on behalf of leadership in a professional and timely manner.
Project Coordination: Assist in planning, organizing, and managing projects, ensuring deadlines are met and deliverables are of high quality.
Documentation & Records Maintenance: Prepare, proofread, and format documents such as memos, reports, and spreadsheets. Manage filing systems and keep records up-to-date.
Event Coordination: Plan and coordinate logistics for company events, team-building activities, and client meetings as needed.
Confidential Information Handling: Maintain confidentiality of proprietary and sensitive information while exercising sound judgment.
Process Improvement: Identify inefficiencies in administrative processes and propose solutions to streamline tasks effectively.
Expense Management: Manage travel arrangements and reimbursement reports for senior executives in compliance with company policies.
Team Collaboration: Work collaboratively with other support staff to ensure seamless communication and operational success across departments.
Requirements
Qualifications:
Experience: Minimum of 5+ years of experience as an Administrative or Executive Assistant, preferably within the insurance, finance, or related industries.
Education: Associate or Bachelor’s degree in business administration, management, or a related field is preferred.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with scheduling and CRM tools.
Communication: Exceptional written and verbal communication skills, with the ability to interact effectively with personnel at all levels.
Organizational Skills: Strong attention to detail, ability to multitask, and excellent time-management skills to prioritize competing deadlines.
Problem Solving: Resourcefulness and ability to anticipate needs while being a proactive thinker.
Professionalism: Exemplary interpersonal skills, confidentiality, and the ability to thrive in a fast-paced corporate environment.
Knowledge: Understanding of insurance industry concepts and terminology is a strong plus.
