A hospitality company is seeking a Receptionist to serve as the welcoming face of the organization, ensuring guests, clients, and staff receive exceptional service in-person, over the phone, and through email. The Receptionist is a critical touchpoint within the hospitality company, ensuring that every guest or client interaction reflects the organization’s commitment to exceptional service. Key Responsibilities:

  • Front Desk Operations: Greet and welcome guests, clients, and vendors with warmth and professionalism as they arrive at the facility.

  • Phone and Communication Management: Answer and direct incoming phone calls promptly and politely, take messages as necessary, and respond to general inquiries via email or in-person communication.

  • Client and Guest Assistance: Provide information about the company’s services, policies, and amenities, and assist guests with booking, reservations, or other requests.

  • Scheduling Support: Help schedule appointments, manage meeting room reservations, and coordinate availability for staff or guests as needed.

  • Administrative Tasks: Assist with filing, data entry, and correspondence to support the administrative team and ensure an organized office environment.

  • Mail & Packages: Receive, sort, and distribute mail and deliveries, and help ensure outgoing mail is processed in a timely manner.

  • Office Supplies Management: Monitor inventory of front desk and office supplies and collaborate with the team to place orders when needed.

  • Problem Resolution: Address and resolve minor guest concerns efficiently, escalating issues to the appropriate department or manager when necessary.

  • Compliance Awareness: Ensure the front desk area adheres to health and safety protocols, including cleanliness, emergency procedures, and any industry standards.

  • Team Collaboration: Work closely with other staff to provide seamless service and address the needs of the organization, clients, or guests.

    Requirements

Qualifications:

  • Education: High school diploma or equivalent is required; coursework or experience in customer service, hospitality, or business administration is preferred.

  • Experience: Prior experience as a receptionist, front desk agent, or in a customer service position, preferably in the hospitality or service industry.

  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with front desk or reservation systems is a strong plus.

  • Interpersonal Skills: Outstanding communication and interpersonal skills, with the ability to provide a welcoming and professional experience to all visitors.

  • Attention to Detail: Strong organizational skills and attention to accuracy in executing tasks.

  • Customer Service Focus: Enthusiasm for creating positive experiences for customers, guests, and clients, with a problem-solving mindset.

  • Time Management Skills: Ability to handle multiple priorities and tasks efficiently, especially during peak hours.

  • Professionalism: A polished, friendly demeanor and a professional appearance are essential in this role.

  • Language Skills: Bilingual or multilingual abilities are an asset, depending on the needs of the hospitality business.

Work Environment:

  • Work primarily in a welcoming front desk/reception area, with occasional light manual tasks such as reorganizing supplies or handling deliveries.

  • Interact with a diverse array of clients, customers, and employees on a daily basis.

  • Potential for weekend, evening, or holiday shifts, depending on the operational hours of the hospitality business.
