Description

We are seeking a diligent and efficient Administrative Assistant for a Real Estate company Honolulu, Hawaii. You will be instrumental in providing administrative support, managing communication, coordinating with vendors, and ensuring the smooth running of the office. This role offers a short term contract employment opportunity.

Responsibilities

• Assist the general manager in overseeing all building vendors, coordinating repairs, and scheduling necessary work.

• Manage communication through email blasts to notify residents of issues affecting the community.

• Provide administrative support by assisting with check requests, filing, e-filing, and maintaining organized cloud-based systems.

• Handle data entry tasks by accessing and inputting data into association software, and maintaining existing hard copy files.

• Manage the office by answering phones, greeting and assisting visitors and tenants, managing mail and deliveries, and ensuring the office is well-organized and stocked with necessary supplies.

• Learn and follow Standard Operating Procedures.

• Manage vendor relationships and performance, ensuring they are communicated with, scheduled, and paid promptly following each event.

• Handle inbound and outbound calls, providing excellent customer service.

• Use Microsoft Excel, Outlook, and Word to accomplish tasks and maintain records.

• Schedule appointments and assist visitors as part of your daily tasks.

• Handle mail processing and deliveries, and coordinate with multiple vendors.

Requirements

• Minimum of 2 years of experience in an administrative assistant role, preferably within the Real Estate industry

• Proficiency in Microsoft Office Suite, including Microsoft Word, Excel, and Outlook

• Proven experience in customer service roles

• Demonstrated ability in data entry

• Strong written and verbal communication skills, with experience in email correspondence

• Experience in handling inbound and outbound calls

• Ability to schedule appointments and manage calendars

• Experience in assisting visitors and handling their inquiries

• Experience in ordering office supplies and managing inventory

• Ability to process mail and coordinate deliveries

• Experience in liaising with multiple vendors

• Ability to work independently and as part of a team
