Manulife Executive Assistant in Hong Kong, Hong Kong

The opportunity

We are seeking an Executive Assistant to support the Asia Chief Agency Officer based in Hong Kong. The successful applicant with need to be highly reliable and trustworthy individual who is able to represent the Regional Distribution office and the team in a professional manner at all times.

We are looking for someone with:

  • Degree holder with at least 8 years of relevant experience supporting senior executives in global financial organizations

  • Impeccable attention to detail and high levels of integrity and discretion

  • A strong sense of urgency and the ability to work independently on assignments with minimum supervision/guidance

  • Ability to deal with a high level of ambiguity and utilize sound business judgment

  • Great organizational skills, a strong bias for action and the ability to multitask effectively

  • Ability to complete complex tasks and projects quickly with little guidance, react with appropriate urgency to situations that require a quick turnaround, be able take effective action

  • Strong track record of being a team player within a large scale fast-moving and process-driven environment

  • Excellent communication (written and verbal) and interpersonal skills

  • Flexible, with the ability to prioritize and handle multiple assignments at any given time while maintaining commitment to deadlines

  • Fluency in English and another Asian language who is ethical, capable and caring

On the job you will:

  • Manage complex diary managements and appointments, anticipate issues and proactively initiate appropriate action

  • Organize internal and external meetings, calls, townhalls and conferences in efficient, professional manners within tight timeframes and minimum guidelines given

  • Handle confidential information and interacts with all levels of management, other departments, internal and external customers using tact and diplomacy in all dealings

  • Arrange and manage travel arrangement and preparation, submission and tracking of expenses and medical claims

  • Track and drive completion key deliverables and follow up on outstanding executive action items

  • Organize, prioritize and handle time-sensitive, confidential information and ensure appropriate action is taken

  • Take proactive steps to ensure that best practice and coordination is seamless across all interfaces

  • Work closely with support staff to build and secure support and resources for projects and initiatives

  • Prepare various correspondence and documents; edit and proof correspondence and documents

  • Perform miscellaneous and ad hoc tasks as assigned with strong sense of responsibility and ownership
