Administrative Assistant provides on-site support to one or more VP and Directors by performing general administrative work such as managing schedules, running reports, copy/filing documents, and answering emails. This role also supports the administration, logistics, travel, and onsite delivery of department meetings. Serves as the primary liaison for attendee communication, travel arrangements, general logistics, and expense reconciliation.

salary: $23 - $24 per hour

shift: First

work hours: 8 AM - 5 PM

education: High School

Responsibilities

  • Prepare presentations, flyers, and manuscripts for VPs as needed for business meetings, interdepartmental communications, and national safety compliance

  • Prepare meeting agendas, process documentation, meeting minutes, and executive summaries

  • Establish follow-up systems for project management, calendar management, and e-mail management, including maintaining department PTO and vacation forms

  • Manage daily calendars; organize, schedule, and prioritize business meetings, conferences, and interviews for SCM and EHS

  • Create and maintain filing systems, distribution lists, and contact directories for VPs and Directors

  • Responsible for booking travel and flight, car rental, and hotel accommodations for VPs

  • Prepare expense reconciliation for VPs through Concur

  • Plan and coordinate on- and off-site meetings and events including the organization, ordering, setup, and cleanup of breakfasts and luncheons

  • Support Department Directors and Managers with managing national programs, standards, pilots, projects, vendor partners, and budgeting

  • Perform other job-related duties as assigned
