Stevens Institute of Technology Payroll Manager in Hoboken, New Jersey

Job Description
Position Summary
Oversee and direct payroll for biweekly and semi-monthly employees in a fast-paced environment, ensuring compliance with laws and tax obligations, supervising the payroll team in a hybrid environment, and maintaining accurate payroll records.
This position reports to the Manager of Financial Accounting and Disbursements.
Ensure accurate record-keeping in accordance with all applicable regulations and guidelines.
Prepare semi-monthly and bi-weekly payrolls with staff assistance.
Prepare various tax reports. Prepare and approve payroll adjustments such as tax refunds, payment reversals, overpayment recovery, and year-end W2 adjustments.
Review tax notices and garnishments from agencies and work with our 3rd party vendor for the initiation and or resolution needed.
Review all reports for payments, deductions, variances payments, etc., before payroll transmission.
Analyze/Review the paychecks of the payroll staff before and after each payroll transmission as a security measure.
Verify the data entry of the Payroll Administrators and approve the completion and settlement of each payroll to be transmitted.
Interface with Human Resources on employee pay and benefit items.
Ensure distribution of payroll to proper general ledger accounts.
Review the verification of receipt of the transmitted payroll to our paycheck producer (Workday) and bank.
Supervise other payroll personnel as assigned.
Serve as the primary contact with external payroll processing.
Reconcile and approve invoices from our external payroll vendors.
Prepare reports, analyses, and correspondence as needed about payroll.
Identify and improve business processes to increase performance, save costs, and improve the quality of work.
Review tickets in the tracking system.
Reconcile 941 quarterly taxes processed by ADP v Workday.
Imputed Income for personal travel
Assist auditors with requests and questions.
Work with Human Resources and our outsourced internal auditor to implement processes and procedures that are necessary to accurately track and record payroll tax issues identified by our internal auditor.
Hold weekly Payroll Team meetings.
Special tasks as assigned.
Education
A bachelors degree is required in an appropriate field, and at least five years of payroll management experience.
Other Qualifications
Candidate should possess knowledge of the Workday Payroll System, ADP systems, and ADP W2C Manager software. Experience with Workday Finance is a plus. Proficient in MS Excel and MS Word. At least five years of supervision of others is required. Good written and verbal communication skills, a customer-focused perspective, and the ability to schedule work and meet tight deadlines are required.
