Summary This position serves as Program Support Assistant to one of the five Associate Chief Nurses (ACN) at Edward Hines VA Hospital. This is the focal point for administrative activities for the ACN's section. Participates actively in the management of the office of the Associate Chief Nurse by performing a wide range of administrative, analytical and budgeting functions through the use of office automation systems, which generate output of reports, database management and word processing. Responsibilities Major Duties: Provides administrative support to the Associate Chief Nurse, a Health Systems Specialist and all assigned service staff by processing Personnel Actions, travel requests, time and leave reports; creating joint policy documents; integrating data with the other Nursing Services; assisting with preparation of budgets for their assigned area. Maintains an accurate record of tasks and action items, tracks completion, and follows up with responsible parties to fulfill requests within the incumbent's wide range of responsibility, including; but not limited to budget, personnel, travel, correspondents, timekeeping, supplies and equipment. Prepares agendas, attends and transcribes minutes for meetings. Maintains calendars, schedules appointments and meetings, makes necessary arrangements for conferences and meetings including reserving conference space and notifying conferees, having appropriate training materials, tools, supplies, etc., available. Knowledge and skills for effective operation of a personal computer, software applications as electronic mail, Outlook, Microsoft Word, Excel, desktop publishing, calendar, spreadsheet, database, and/or graphics, typewriter and other office equipment in order to produce and disseminate accurately prepared materials. Distributes mail, copies materials, collects and collates information and distributes documents as requested. Files and maintains office files for ACN. Maintains, updates and is generally responsible for equipment inventory tracking log for respective area. Performs other related duties as assigned. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/27/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS -06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to; Knowledge of the duties, priorities, commitments, policies and program goals of the staff sufficient to perform non-routine assignments. Knowledge sufficient to recognize which information is or is not relevant to the problem at hand. Knowledge required to coordinate the work of the Office with the work of the other sections of Nursing, and for recognizing the need for such coordination in various circumstances. Knowledge of the primary programs and scope of operations of Business Units/Product Lines sufficient to screen requests for information, provide advice on established procedures and to refer non-routine requests to the appropriate, program or person. Knowledge of the duties, priorities and commitments of the position, other disciplines, sufficient to arrange conferences/meetings appropriately, prepare reports of proceedings, as requested and to maintain continuity in clerical support in relief of other clerical staff members. Knowledge of all policies and procedures directly related to her/his work responsibilities including information security, customer service and the VA style manual. Knowledge of grammar, spelling, capitalization, punctuation. VA format, medical terminology and clerical procedures in order to accurately type and proof read written materials. A qualified typist is required. Ability to interpret and apply regulatory and procedural requirements to process unusually difficult and complicated actions. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities.
