The Pennsylvania State University is seeking an Administrative Assistant for Children's Miracle Network (CMN) at Penn State Health Children's Hospital. Each year, Penn State Health Children's Hospital needs $4 million from CMN to help save kids' lives. Those funds are raised, often one dollar at a time, by individual donors, Miracle Families, corporate partners, and community fundraisers who are all passionate about changing kids' health. CMN funds life-saving equipment, vital patient programs, and innovative research to help provide the best possible care to sick and injured children in our community. Since it began locally in 1984, CMN has raised more than $91 million for Penn State Health Children's Hospital. Reporting to the Director of Children's Miracle Network and working closely with Children's Miracle Network team members, the Division of Development and Alumni Relations, and other University partners, the Administrative Assistant will:
Provide executive level support to the CMN Director to include: calendar management, meeting scheduling, overseeing updates in our donor database, coordinating donor visits and travel, and facilitating special projects
Manage administrative responsibilities for CMN including answering telephone calls, greeting visitors, tracking and ordering supplies, providing information to and/or referring questions/inquiries from donors, volunteers and sponsors, and assisting other CMN team members as needed
Support the CMN Director with management of the annual operating budget and ensure contract obligations with Children's Miracle Network Hospitals are being met
Assist with fundraising event execution by managing budgets - tracking income and expenses, ensuring the planning timelines are being met, and accurately tracking event attendees
Serve as point of contact with office operations staff on processing gifts to CMN, acknowledgement of honorary and memorial gifts, contract review, and management of data requests/reporting
Assist with scheduling meetings, gathering information for agendas, and preparing summaries for the CMN Advisory Board and its members
Serve as CMN's primary liaison with financial officers at Penn State College of Medicine and the Penn State Health Milton S. Hershey Medical Center for bill processing, expense reimbursement, budget allocations, and preparation of financial documents
Share in the development of all CMN fundraising programs including innovation and critical thinking to overcome obstacles and anticipate program gaps
This position typically requires a high school diploma or higher and 2+ years related experience or an equivalent combination of education and experience. The successful candidate will also have:
A results-oriented style with high attention to detail, the ability to multi-task, project manage and meet deadlines in a dynamic, fast-paced team environment
Proficiency in Microsoft Suite of products including Access, Excel, Outlook, PowerPoint, and Word
Capacity to learn University business systems such as Advance Web database, SIMBA (System for Integrated Management, Budgeting, and Accounting), Zoom, and Office 365 (training is available)
A proven ability to se f-motivate and work both independently and as part of a team
Strong organizational and prioritization skills
A passion for pediatric healthcare and a commitment to best practices in the development profession
Exemplary grammatical, written, visual and oral communication skills
A professional can-do attitude with enthusiasm that upholds the mission and core values of the organization

Schedule flexibility to include some evenings and weekends with possible overtime
Operation of a motor vehicle as part of the position's duties and a valid driver's license are required. In addition to standard background checks, the following: PA State Police Criminal Background Check, PA Child Abuse History Clearance Form, and Federal (FBI) Fingerprint Criminal Background Check. The Division of Development and Alumni Relations is supportive of flexible work arrangements when aligned with the ability to meet the needs of the unit and the essential duties of the position. This position is based at Penn State Health and College of Medicine in Hershey, Pennsylvania. The salary range for this position, including all possible grades is: $38,300.00 - $55,500.00
