W&M Fire Protection Services Inspection Admin Support in Hawthorne, New York

We are currently seeking applicants for an Inspection Support Admin in our Hawthorne, NY location. In this role, it will be your primary responsibility will be to support the Inspection department team in their day-to-day operations.

In this role, you will:

  • Open new jobs and ensure accuracy of details.

  • Assist the salesperson in obtaining information needed for each job such as, PO#’s, tax-exempt forms, insurance certificates, utilization reports, credit applications and certified payroll information.

  • Maintain an accurate database; updating customer, job & collection information when needed.

  • Accurately prepare and invoice customers

  • Work closely with the customer concerning updates on the job, questions on invoices and/or the receiving of service calls and emergency calls, if needed.

  • Work with the collection department to ensure that outstanding bills have been accurately invoiced, and all documentation is present.

  • Assist Sales Team as needed.

  • Assist with special projects and other duties as assigned.

Education and/or Experience Requirements:

  • High school diploma/GED, associate degree preferred.

  • One to two years previous experience as an Office Administrator, or comparable experience

Qualifications:

  • Strong computer skills, including use of Microsoft Office applications.

  • Exceptional accuracy and attention to detail

  • Good verbal communication skills

  • Good customer service skills

  • Ability to be flexible and handle scheduling changes.

  • Knowledge of fire protection systems a plus

  • Valid driver’s license

Physical Demands and Work Environment:

  • Office environment with moderate noise levels

  • Ability to be on the phone and computer consistently throughout the day.

Starting wage: $28-$30/hour

Schedule: Monday-Friday, 7am-4pm
