BCHC shall, upon request, provide reasonable accommodations to otherwise qualified individuals with disabilities.Job Title: Medical Clinical CoordinatorDepartment: Medical Supervisor: Chief Medical Officer and Director of Operations Salary Range: $50,835-$74,563 Job Overview: The Clinical Coordinator, under the supervision of the Chief Medical Officer (CMO), will provide direct nursing care and oversight to the administrative and daily operations of the BCHC Medical Department. The Clinical Coordinator will assist in the medical department's efficiency and functionality and will help the management team set clear objectives and establish measurable goals for the medical team. The Clinical Coordinator is expected to exhibit strong team-building and problem-solving skills and encourage collaboration among staff members. The Clinical Coordinator will provide employees with guidance in handling difficult or complex problems, monitor the environment for care issues, safety issues, and regulatory issues related to State or Federal requirements. Essential Functions (Major Duties or Responsibilities):Coordinate daily activities ensuring organized and smooth operations to include staff and provider scheduling, patient flow, ensuring appointments are conducted as scheduled and the ability to assist in all areas when needed.Ensure Standard Operating Procedures and policies are followed.Communicate with Chief Medical Officer and/or the Direct of Operations (DOO) regarding clinical staff performance, staff needs and concerns, and necessary changes to treatment protocols and workflows.Coordinate with the CMO or DOO to arrange appropriate training and education to meet the professional development needs of the medical team. Maximize team efficiency and quality through appropriate staffing. Contribute to a work environment that encourages positive staff morale, motivation, commitment, and team building. Assist with coordinating regular medical department meetings which provide opportunities for discussion and resolution of clinical problems, ensuring quality assurance, and foster good communication. Facilitate and attend variety of BCHC meetings. Work with the CMO and/or DOO to meet the department's goals. Assist in onboarding new staff.Assist with yearly competency reviews.Clinical Support•Actively participates in daily preparation for schedule review to ensure a smooth productive day.•Assists clinical team during a variety of treatments, exams, procedures.•Oversee the clinic vaccination program. Prepare the vaccine report, audit, and annual reporting. •Proficient at (1)Entering all patient documentation into the Electronic Medical Record. (2)Scanning all required paperwork into the patient charts.(3)Monitors and troubleshoots issues EMR(4)Ensure relevant updates and changes made during EMR system upgrades are disseminated to behavioral health department•Assist with patient care whenever necessary.•Assesses and professionally addresses any patient questions and/or concerns.•Assist with patient chart reviews.•Maintains and keeps organization within the medical department.Leadership•Leads clinical staff in continuous process improvements.•Create the medical schedule and ensure that there is adequate coverage to ensure efficient workflow.•Leads clinical staff in maintaining a smooth patient workflow with all clinic teams to promote timely and exceptional patient experience visits.•Collaborates with clinic staff to improve and provide better patient care.•Maintains the knowledge that is a resource to clinical staff and uses expertise to improve patient care and advance department goals.•Responsible for the professional development of new clinical staff through mentorship and training.•Assists in the efficient transition and adaptation of new support staff.•Bring resolution and workflow recommendations for continuous process improvements to the CMO and DOO.Inventory Management•Compile the list of supplies needed, request purchase orders, and order approved supplies.•Oversee, update, and maintain medical inventory.•Promptly ensure supplies are received and stored appropriately.•Monitor medical supply expirations and dispose of materials accordingly.•Request medical supply needs properly and efficiently for ordering while adhering to inventory budget.•Maintain medication inventory.Maintenance•Oversee the maintenance and preventative maintenance schedule for sterilization and other medical equipment directly related to patient care.•Perform monthly AED checks. •Follow the calibration schedule for all medical equipment.Compliance•Maintains HIPAA according to compliance and policy and performs HIPAA chart audits.•Perform medical department risk assessment.•Abides by all PPE standards for clinical staff.•Practices universal precautions and proper infection control.•Minimizes waste, fraud, and abuse.•Reports any hazardous situations to the Chief Medical Officer.•Knowledgeable of spill containment and clean up.•Abides by the allowable and prohibited duties for Medical Assistants as outlined by the State of Montana.•Ensure that the office Safety Data Sheets (SDS) are up to date and readily available.•Ensure maintenance of emergency kits and first aid supplies for accuracy and compliance.•Inspect, test and log autoclave systems and eye wash systems. Ensure weekly monitoring of autoclave systems via spore testing and other biological testing, as designated.Team Approach: Managing patient care is a team effort that involves clinical and nonclinical staff (i.e., physicians, nurse practitioners, physician assistant, nurses, medical assistants, schedulers, billers, and front-end staff) interacting with patients and working as a team to achieve stated objectives. Emphasis is on ongoing interactions of team members to discuss roles, responsibilities, communication, and patient hand-off, working together to provide and enhance the care provided to patients. All staff are members of the team. Involvement of the patient/family/caregiver with care team members is critical to patient-centered care.Minimum Qualifications (Education and Experience): Graduation from an accredited college or university of recognized standing with an associate or bachelor’s degree in nursing is required, and 4 years of relevant work experience. (Registered License in the State of Montana). Experience in a primary health care setting or equivalent is preferred. Special Requirements: Performs duties in the delivery of health services. Hazardous risks may include exposure to infected body fluids, sharp instruments, and chemicals, requires adherence to universal safety precautions.
