COUNTY OF BROWN ADRC Office Assistant (Bilingual Pref.) in GREEN BAY, Wisconsin

JOB REQUIREMENTS: Essential Duties MAJOR RESPONSIBILITIES: ADRC Program Support: Greets, welcomes and responds to customer\'s requests and the public on the phone and in person. Assists with membership functions of the ADRC and registration for customers participating in ADRC programs and services. Provides primary support for ADRC as it pertains to federal, state and county contracts. Documents and forms are completed accurately and timely according to program requirements. Utilizes Microsoft Office Suite, Adobe Products, and other software to design and produce monthly newsletters, documents, flyers, brochures et... that present the ADRC in a professional manner. Interacts and supports Managers, their units, and the Director of the Agency. Assists staff with computer software and equipment, answering questions, providing training, problem-solving, and equipment set-up as needed. Prepares and/or distributes agendas and records meeting minutes for internal agency and public ADRC meetings. Collects and processes customer and public monetary transactions according to the ADRC Cash Handling Policy. Electronic and Paper File Management: Ensures timely and appropriate response to incoming files, mail, fax and email including written responses to all levels of management. Maintains files and department records and all necessary documentation. Supports ADRC record management, maintenance, and retrieval systems. Adheres to privacy and confidentiality policies regarding customer and/or personnel information. Data Entry and Reporting: Reviews, enters, and maintains data in ADRC\'s software programs. Participates in the development of data collection tools and processes. Prepares reports, correspondence, receipts and statistical data from written or printed materials. Prepares mailing list and labels, sends surveys for multiple departments, records data upon receipt. Other Duties: Analyzes processes for efficiency and implementation. Receives, opens, time-stamps and distributes mail; ensures mail is routed throughout the office; prepares outgoing mail including interoffice. Maintains laptops, notebooks, and other electronics. Participates in the planning and goal setting efforts of ADRC. Assures and tracks office inventory and supplies. Conducts authorized purchases. Shares in team responsibilities and participates in the work setting as a team player. Has a \"Duty to Report\" during a community emergency/disaster according to the ADRC Emergency Preparedness Plan. ***** OTHER EXPERIENCE AND QUALIFICATIONS: Advanced knowledge of MS Office applications and other software utilized by ADRC. Knowledge of modern office practices and procedures. Knowledge of business English, spelling and grammar. Knowledge of ADRC policies, laws, rules and regulations pertaining to the position. Ability to interpret rules and regulations regarding fiscal reporting requirements. Ability to plan, organize, schedule and prioritize work to ensure timely completion. Ability to understand and practice the confidential nature of the position. Ability to proficiently use a computer and related office equipment at a speed and accuracy rate that meets workload demands. Ability to multi-task job duties in a fast paced environment. Ability to maintain complex records and files. Ability to complete arithmetic calculations. Ability to communicate effectively both orally and in writing. Ability to work effectively in a team environment with staff and the public. Ability to deal tactfully with difficult situations. Ability to work independently with minimal supervision. PHYSICAL DEMANDS: Lifting 20 pounds maximum with frequent lifting and/or carrying of objects weighing up to 10 pounds. Extended periods of sitting; intermittent standing, walking and driving. Using hand(s) for single grasping, fine manipulation, pushing and pulling, and operating controls. Occasional bending, twisting, squatting, climbing, reaching and grappling.
