The Business Systems and Functional Support team provides critical support to the mission by delivering comprehensive support for our business systems that includes Workday, Cashnet, and Contract Research System. The BSFS team supports our stakeholders in Finance, Bursar, Procurement, Accounting, Budget, Payroll, Human Resources and the Office of Research Administration.

The Business Systems Security Administrator reports directly to the Director of Business Systems and Functional Support and is responsible for defining and establishing a sustainable and scalable approach to how we maintain and govern our Workday system to ensure we have the framework and business controls in place to mitigate risk and preserve the integrity of the data, business processes and system. This is a key member of the team and serves as a resource to the Finance Administration and Operations team within the Controller's Office.

This is a professional position that requires critical thinking and strong analytical skills. The Business Systems Security Administrator must be able to work independently, research and resolve issues, strategically analyze complex security configuration needs, consistently review processes and procedures, make recommendations for improvements, and develop and deliver training to campus partners. Knowledge and understanding of when to apply any specific security configuration is critical. The ideal candidate enjoys working with complex security requirements and collaborating with others to resolve unique challenges.

This role serves as a critical link between the Finance Administration and Operations departments. Acting as a bridge for communication, collaboration, and implementation of policies, procedures, and initiatives. This role will be liaison with stakeholders and plays a pivotal role in ensuring that Colorado School of Mines strategies are effectively integrated into various business units, promoting a positive and cohesive work environment

This position is hybrid in Colorado. The Colorado School of Mines provides dedicated professional development and training. Onboarding for this position includes training on systems, policies, procedures, and regulatory compliance requirements for state and federal security audit requirements.

Primary Responsibilities Serve as Workday and other Business Systems security administrator, with a deep acumen of Workday's security framework and cross platform business processes to drive and adopt and business processes for HCM, Financials, Payroll and Adaptive. Overall Security architecture and governance across the Workday platform (HCM, Compensation, Payroll, Time Tracking and Recruiting, Talent and performance and Finance), and other systems. Configure and maintain various security groups such as role-based, and position-based. Create and update security policies, domains, segmented security, role-based /user-based roles. Respond to audit requests and security-based inquiries. Define security governance and controls based on data privacy and security best practices. Identify opportunities for operational efficiencies and improvements to security design. Provide security design recommendations to business partners and senior leaders. Provide oversight by auditing our security environment. Create comprehensive documentation of system changes in our document library that includes a security dictionary and index.

Collaboration Establish and maintain effective communication channels between the Finance Administration and Operations and different departments, teams, or business units. Act as the point of contact for employees and managers seeking HCM, Finance and Payroll, guidance, or support regarding security. Collaborate with department heads and managers to understand their specific HR, Finance, Payroll and Department needs and challenges. Conduct training sessions to help users understand and effectively utilize technology resources. This could involve one-on-one sessions, group workshops, or online training materials. Collaborate with other IT teams, such as network administrators, database administrators, and developers, to escalate and resolve complex technical issue

Documentation and Knowledge Base Document each customer interaction, including the issue, resolution, and any additional information. Maintain detailed records of user interactions, technical issues, and solutions provided. Create and update documentation, knowledge base articles, SOPS, workflows and FAQs to facilitate self-help resources for users.
