Administrative Assistant Roles and Responsibilities:

At our Glenmont, NY has an immediate opening for an Administrative Assistant position to support its site operations.

The Administrative Assistant has a key role at our Glenmont facility to ensure the facility keeps up to date on processes and records while maintaining a positive and professional attitude to all customers. We are looking a high calibrate candidate to support the site administration. The individual in this position will communicate with respect and honesty and uphold the highest ethical standards. While displaying a positive attitude when taking on new challenges while working both individually and in teams with a solutions-oriented mindset.

Required Skills / Abilities (but are not limited to):

  • Invoice processing and tracking (via SAP)
  • Coordinate annual hearing testing and quarterly drug/alcohol testing for drivers, mechanics and operators.
  • Daily entering of NTS for Messer deliveries from operations report.
  • BSP site maintenance (operations and distribution) .
  • Coordination of celebrations, holiday events, charity events.
  • Purchase of site supplies including driver uniforms/PPE .
  • Track APTs submitted for the month.
  • Revise customer direction in LBShell.
  • Work with Terminal Supervisor for New Hire on-boarding.
  • Coordination of fuel deliveries.
  • Coordination of FedEx and other shipping needs.
  • Maintaining updated information in driver's room.
  • Maintain weekly time reporting, vacation, and sick time.
  • Coordinate monthly safety meeting agenda/minutes/pre-safety meeting.
  • Communicate and maintain Air Products Safety Training .
  • Review daily driver logs and assist with driver log corrections.
  • MOBY troubleshooting and assistance.
  • Perform daily product trip report closings and reviews.
  • Coordinate travel via Air Products Travel system.

Education and Licensing Requirements:

  • High school diploma/GED with at least 2- 5 years' experience
  • Strong communication skills (verbal and written)
  • Ability to work independently, to multi-task and to handle confidential requests
