EASTERN MONTANA VETERANS HOME Administrative Assistant / Scheduler in GLENDIVE, Montana
QUALIFICATIONS:
- High School Diploma or equivalent
- Ability to pass a criminal background check
- Ability to relate to and work with ill, disabled, elderly, emotionally upset and, at times, hostile people within the facility
- Reliable with respect to confidentiality
- Proficiency with computers and software applications necessary to perform a job (ie: Microsoft Office including Excel, Word, etc.)
- Ability to effectively communicate, both orally and in writing, and excellent organizational and leadership skills
- Ability to be flexible with work schedule when needed and to work in a fast-paced environment with the ability to multi-task
- Ability to utilize analytical skills and the ability to work with all levels of employees
- Previous experience as a Data Entry Clerk and knowledge of medical terminology preferred
- Demonstrated current experience in scheduling/staffing in a long-term care facility preferred
- Basic Knowledge of HPPD and overtime management preferred
DUTIES INCLUDE:
- Answer telephone, refer calls and take messages
- Greet and direct visitors, welcome everyone to the facility
- Take and maintain minutes of meetings as designated by supervisor
- Complete incident log on a daily basis
- Maintain an up to date mailing list of responsible parties for all families of residents
- Facilitate purchase of stamps as requested by employees, visitors, etc.
- Re-order postage when needed
- Run errands (trips to laboratory, physician's offices, business office supplies, etc.) as necessary
- Ensure all outgoing mail is sent each day and incoming mail is directed to the appropriate department, resident or personnel
- Type letters, reports, documents, statements, purchase orders, invoices, minutes of meetings, agendas, etc.
- Provide customer service support to residents, family members, visitors and staff
- Prepare New Hire/Orientation packets, as well as Admission packets
- Report complaints and grievances to supervisor and assist in solving problems
- Reorder administrative supplies; document purchases made and ensure that expenses are limited to the budget allocated
- Assure work area is always clean; ensure office area is properly secured before leaving on breaks, end of work day, etc.
- Notify leadership appropriately regarding call ins and use discretionary and independent judgment to secure coverage and manage operational cost
- Maintain accurate attendance records and notify management of attendance-related concerns
- Accurately enter and maintain data relative to scheduling using company software programs and complete required training of programs
- Assist in ensuring HPPD, OT, etc. is aligned with budget and daily census with appropriate scheduling adjustments completed daily as needed
- Prepare and submit reports on staffing operations including miss punches, open positions, HPPD, overtime, agency, schedule variances (daily hour reconciliation)
- Evaluate reports and report trends to leadership team
Full-time position.
