Job Title: Academic Project Coordinator

Reports to: Associate Vice President, Rowan Online
Rowan University is seeking an Academic Project Coordinator to support the development, launch, refinement of new online academic program offerings under the Rowan Online division. Under the direction of the Associate Vice President of Online Operations, responsibilities include but are not limited to providing project management for new online academic programs, liaising with points of contact in various Rowan academic and administrative units, creating and maintaining documentation, establishing processes and timelines, monitoring project metrics, reporting on progress and barriers, tracking updates and changes, and launching programs on-time.
Duties and Responsibilities:
Assist the Associate Vice President of Rowan Online in the development of project plans for each new online academic program.
Coordinate the execution of tasks as defined in the project plan to achieve the project goals by collaborating directly with the Associate Vice President as it relates to online program development.
Record detailed stakeholder requirements, constraints, and assumptions with stakeholders to establish the project deliverables, using requirement-gathering techniques (e.g., planning sessions, brainstorming, focus groups) producing a project charter.
Coordinate and collaborate project elements between a variety of on and off campus team members, which includes but is not limited to faculty and adjuncts, academic departments and leadership, admissions, marketing, registrar, bursar, information technology, and instructional designers.
Coordinate changes to the project scope, project schedule and project costs using appropriate change management processes to keep the project plan accurate, updated, and reflective of authorized project changes and facilitate stakeholder acceptance.
Ensure a common understanding by setting expectations in accordance with each project plan, to align the internal and external stakeholders. Implement the approved actions and workarounds required to minimize or mitigate project risks.
Monitor workflows for the development of new and innovative academic programs, curriculum development, and other relevant activities using Teams, OnBase, dashboards, COGNOS, and Banner and others and tracks changes.
Coordinates ongoing project management for academic program operations evaluation, improvement, and refinement, including creation and maintenance of documentation, ongoing reporting, and tracking.
Generate reports and maintain accurate and up-to-date records of status at the project, program, and portfolio level and provides status updates to internal and external stakeholders; ensures project tasks are completed on time.
Collaborate with Rowan Online to coordinate course development schedule for new programs. Serve as liaison between academic units and Rowan Online to coordinate course development related tasks and schedule.
Coordinate logistical and administrative needs for Rowan Online project related events and committees. Create agendas, coordinate tasks and deliverables, and capture meeting notes.
Work cooperatively as a team member in an office environment.
Perform other duties, responsibilities or special projects as assigned by the Associate Vice President of Rowan Online.
Required Education: Bachelor’s Degree from an accredited college or university.
Required Qualifications:
Three (3) years of applicable professional experience.
One (1) year of project management experience.
Strong organizational skills and attention to detail.
Excellent technical writing and verbal communication skills, and the ability to retrieve, prepare, and present report findings.
Strong customer service skills.
Ability to compile and maintain data and electronic records.
Advanced technical skills in business systems including Microsoft Office (Outlook, Teams, Word, Excel, PowerPoint, and Access), and Google Suite (Drive, Docs, Sheets, Slides, Forms).
Familiarity with project management techniques, documentation, and project management software.
Aptitude to plan, organize and work on multiple competing priorities and in multidisciplinary teams.
Ability to work in a fast-paced environment.
Strong orientation toward teamwork and the ability to achieve work through others.
Experience working with people from diverse racial, ethnic, and socioeconomic backgrounds.
Preferred Qualifications:
Five (5) years of professional experience in higher education.
Three (3) years of project management experience.
Knowledge of and experience developing, launching, and evaluating academic programs.
Experience working with Banner, Onbase, COGNOS, Canvas, and other higher education-related software.
