Role Overview

As theExecutive Assistant, you will play a pivotal role in providing high-level administrative support to the Agency Director. In this fast-paced, highly visible position, you will handle complex scheduling, streamline communication channels, and ensure critical tasks are prioritized and executed flawlessly. Youll be a trusted partner to the Agency Director, managing day-to-day operations and projects that drive our mission forward.

Key Responsibilities

  • Calendar & Meeting Coordination

    • Manage the Agency Directors complex calendar and schedules, ensuring optimal time management and efficiency.
    • Coordinate internal and external meetings for the Agency Director, including agenda preparation, logistics, and follow-up action items.
  • Administrative & Operational Support

    • Facilitate key administrative tasks such as document preparation, correspondence, and maintenance of confidential records for the Agency Director.
    • Track and organize projects, deadlines, and deliverables to ensure timely completion and clear communication of progress.
  • Communication Management

    • Serve as the gatekeeper for inquiries related to the Agency Director, prioritizing requests and facilitating communication with team members and stakeholders.
    • Draft, review, and refine communications, presentations, and reports on behalf of the Agency Director.
  • Travel & Event Planning

    • Arrange travel itineraries, accommodations, and detailed agendas for the Agency Director, ensuring efficient use of time and resources.
    • Plan and execute office events, off-site, and special meetings as needed, in partnership with relevant teams.
  • Process Improvement

    • Identify areas for increased efficiency, accuracy, and organization within the Agency Directors purview.
    • Implement and maintain best practices for administrative workflow to streamline operations.
