  • JOB TITLE: FRONT/BACK-OFFICE COORDINATOR DEPARTMENT: PATIENT CARE FACILITY SUPERVISION RECEIVED: REPORTS DIRECTLY TO OFFICE MANAGER AND INDIRECTLY WITH MEDICAL STAFF & BILLING MANAGER SUPERVISION EXERCISED: EXERCISES SUPERVISION AS ASSIGNED OVER MEDICAL ASSISTANTS, NURSING STAFF AND PATIENT REPRESENTATIVES JOB SUMMARY: ASSIST OFFICE MANAGER WITH OPERATION AND MANAGEMENT OF FRONT AND BACK OFFICE FOR FACILITIES WITH FIVE (5) OR MORE PHYSICIANS.DUTIES AND RESPONSIBILITIES (THIS LIST MAY NOT INCLUDE ALL OF THE DUTIES ASSIGNED.)Maintain strictest confidentiality; performs all Medical Assistant and Patient Representative duties as required. Assist the Office Manager in compliance with facility policies and procedures; always serving by example, following policies and procedures. Offers guidance to all staff on predetermined operational procedures. Trains Patient Representatives and Medical Assistants. Oversees Physician’s scheduling according to individual physician protocols. Advise Office Manager of problems and concerns in the facility and participate in problem solving. Advise and delegate duties to all staff members as directed; perform front and back-office duties as needed. Monitors education certifications of staff to assure legislative compliance. Assist Office Manager with monthly staff meetings, attends meetings and performs duties as assigned. Communicate office changes to both back and front office staff. Inform staff of any insurance plan changes, coding changes, or any new protocols to be adopted by front office staff as directed by Office Manager. Assists in care and upkeep of department equipment and supplies, including calibration and record keeping in accordance with current policy and procedures. Responsible for notifying Office Manager of any daily activity that is not timely. Assure that requested information for filing of insurance claims is forwarded to the Central Billing Office. Trains staff, serves as a resource to other clinical staff and maintains training and orientation material for new hires. Participates in continuing education and other appropriate activities to maintain professional competence. Present purchase orders to Office Manager for authorization. Match packing slips with received supplies; attach verified packing slips and authorized purchase orders; turn into Office Manager. Performs lead duties for staff to ensure optimal patient flow and excellent customer service in accordance with company policies, practices and procedures. Works with other staff members to foster a team approach to achieve the highest quality of patient care and cooperation. Supports the clinic efficiency and cohesion. Follows established policies and procedures. PERFORMANCE REQUIREMENTS KNOWLEDGE, SKILLS, AND ABILITIES Knowledge of the following: organization policies and procedures, medical practices and systems, computer systems and applications, healthcare administration practices, skills in examining and evaluating data with reference to standards and requirements. Skilled in written and verbal communication, greeting patients and answering the telephone in a pleasant and helpful manner. Ability to speak clearly and concisely. Skilled in adult education and development, ability to work effectively with all departments, staff, patients, and external agencies. First line problem solving skills with the ability to listen, understand, and solve or escalate provider issues before they become more serious. EDUCATION: High school education or equivalent.College or business training classes preferred.Associates degree or higher; Medical Assistant, LVN or RN. EXPERIENCE AND SKILLS: Strong communication skills with consistent incorporation of judgement and discretion. Working knowledge of medical terminology and coding. Two years’ experience in a front office using medical management software. Typing or data entry at least 40 w.p.m. Previous minimum of two years in a back office within a medical setting or two years nursing experience. Demonstrated leadership capabilities Demonstrated establish and maintain working relationship with all levels of colleagues. Demonstrated above average organizational. Demonstrated excellent customer service skills. Demonstrated professional/positive attitude. TYPICAL PHYSICAL DEMANDS Requires full range of body motion including handling and lifting patients, manual and finger dexterity and eye-hand coordination. Involves standing and walking. Occasionally lifts and carries items weighting up to 100 pounds with assistance. Requires normal visual acuity and hearing. Requires exposure to bodily fluids. TYPICAL WORKING CONDITIONS Work is performed in an office environment and requires desk work, frequent contact with employees and outside agencies. Continual patient contact may involve dealing with angry or upset people. Frequent exposure to communicable diseases, toxic substances, ionizing radiation, medicinal preparations and other conditions common to a clinic environment.
