This role is the first point of contact for visitors and contractors entering the site. The successful candidate will manage the reception desk in a professional and welcoming manner and will ensure HID security screening measures are followed. Will provide support to Facilities, Finance and HR functions by performing various administrative tasks as required.

As our Front Office Administrator, you’ll support HID’s success by:

  • Being the first point of contact for all phone calls and visitors onsite, directing messages and visitors appropriately.

  • Managing incoming post and courier deliveries.

  • Ensuring visitor screening is completed in line with our security protocols.

  • Managing u ploading of content to AV screens sitewide.

  • Ensuring Reception area and First Aid room are maintained in an orderly fashion.

  • Managing Meeting Room booking system.

  • Preparing Boardroom in advance of meetings and ensure it is stocked with water, snacks etc. Coordinate with IT to ensure AV functionality is tested and working.

  • Organising catering for internal meetings.

  • Coordinating hotel reservations, car transfers and other hospitality requirements for visitors.

  • Stocktake of canteen supplies (coffee beans, napkins, etc.) and re-order as required.

  • Overseeing weekly milk deliveries

  • Providing ad hoc administrative support to Accounts Payable and HR functions to include generating Purchase Requisitions, assist with corporate card administration, upload policy documentation to internal system and other ad hoc tasks.

  • Ordering stationary supplies for office.

  • Attending training as required.

  • Ensuring compliance with environmental, security and health & safety regulations.

  • Developing and maintaining strong working relationships with colleagues.

  • Must always work in a confidential manner and with discretion.

  • Proficient in Outlook including calendar management

  • Excellent MS Office suite ability

  • Excel and PowerPoint
