Job Description:

The Lastinger Center for Learning is an education innovation hub within UF’s College of Education focused on creating equitable education systems that improve teaching and learning across early childhood and K-12 education. Specifically, the Center targets kindergarten readiness, 3rd grade reading proficiency, and algebra proficiency as critical milestones in children’s educational trajectory that are predictive of success in school and life. The Center works at the nexus of research, practice, and policy to develop sustainable systems that leverage educational technologies and improve the implementation of research-based practices. Housed in one of the nation’s elite public research universities, the Center operates as a dynamic, entrepreneurial workplace focused on executing against UF’s service mission to strengthen the human condition and improve the quality of life.

Learning Services – Project Management

  • Establish and maintain relationships with the business units and key partner groups to understand their business needs, ensure alignment on objectives, and ensure ongoing buy-in across all project activities.

  • Implement and configure new enrollment systems and processes for varying enrollment needs across different projects

  • Translate business objectives into projects with clearly defined scope, timing, deliverables, resources,and key measures of success.

  • Effectively set and communicate project expectations to team members and stakeholders.

  • Proactively manage and communicate ongoing changes in project scope, identify potential crises and devise contingency plans.

  • Facilitates the analysis and resolution of issues that impede project progress

  • Conducts project meetings and communicates project status with customers, project team members, vendors, and supervisors

  • Stay current on industry trends, best practices, and emerging technologies related to enrollment systems, evaluating and incorporating relevant advancements into daily use

  • Demonstrate adaptability and agility in responding to changing organizational needs and priorities related to enrollment processes and systems.

Learning Services – Systems Maintenance and Process Improvement

  • Serve as liaison between Learning Services and Lastinger Center teams for enrollment and reporting needs

  • Document and streamline existing processes and policies related to enrollment systems, fostering a culture of continuous improvement

  • Work closely with Lastinger Associates to ensure that participant and partner organization inquiries and suggestions are strategically coordinated and addressed in a timely manner

  • Work closely with Lastinger Associates to analyze data and enrollment trends in order to increase retention: late enrollment, drops, withdrawals, inactive learners

  • Work with Instructor Coordinators and Implementation Coordinators to determine and implement Instructor, Coach, Navigator and Facilitator assignments

  • Conduct post project assessments and evaluations

  • Develop and maintain user guides, manuals, and training materials for enrollment systems

Learning Services – Registration Coordination

  • Advise participants and partner organizations on Lastinger policies and procedures, program requirements and related matters

  • Manage and maintain enrollment records. Ensure accuracy, completeness, and compliance with relevant regulations and privacy standards.

  • Coordinate participant learning activities to include: registration, withdrawal, communication

  • Primary contact to enable participants to can stay on track to meet their learning goals

  • Monitor enrollments across programs and balance course section loads within programs as necessary and appropriate

  • Monitor course enrollments and decide if courses need to be canceled or closed at certain points during direct enrollment period

  • Coordinate training events for participants to be held outside of the Flamingo Learning Management system via Zoom or other collaboration software systems

  • Support Learning Services Team to maintain consistent communication with learning participants

  • Add participants, navigators, assessors, instructors, facilitators, and coaches to applicable Flamingo platforms such as the Student Information System and/or Learning Management Systems and to their respective courses and groups

Learning Services – Reporting

  • Ensure enrollment deliverable data are collected, reviewed, and submitted timely

  • Prepare supporting documentation for invoicing and review purposes for enrollment activities

  • Provide regular enrollment updates to stakeholders within and external to the Center

  • Maintain enrollment and registration tracking and dashboards to include but not limited to - sections, modalities, registration numbers, instructors, facilitators and coaches

  • Supervise staff assigned to coordination of learning management system responsibilities

  • Determination and distribution of Continuing Education Units, Certificates, and/or stipends

  • Manage completion documentation and file storage

  • Maintain digital documentation (scanned copies) for training activities as required (sign insheets, reflections, gains surveys)

Lastinger Center offers a flexible, hybrid work schedule that aligns with the university’s Flexibility in the

Workplace Policy. Allowing employees to stagger arrival and departure times as necessary and to vary

the number of workdays in the office so long as an employee’s FTE commitment is fulfilled within the

university workweek. This policy also allows for occasional, incidental remote work based on individual

circumstances.

Expected Salary:

$70,000 - $75,000

Minimum Requirements:

Master's degree in in an appropriate area; or a bachelor's degree and two years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:

  • Experience in Enrollment Management, Admissions, Registrar, Financial Aid, and/or Academic Advising

  • Project and system implementation experience

  • Experience in student information systems and CRM systems

  • Experience in customer service role

  • Experience in coordinated services position

  • Must demonstrate ability to meet deadlines

  • Strong communication skills required

  • Ability to visualize project management to team members using electronic/digital methods
