Job Description:

This position, part of the Disbursement Services department within the Finance & Accounting Division and supervises university-wide operational services of payment processing, distributions, and corrections.

Functions included are disbursements to vendors, students, and travelers, including the processing and audit of those University transactions. Assists the Associate Controller in maintaining the execution of good internal controls to ensure compliance with university, state, and federal regulations. Develops and recommends policies relating to assigned areas of responsibility. Coordinates the development, implementation, and interpretation of all operating procedures.

Departmental Operations: Assists with many functions within the department, including but not limited to outstanding checks, cash expense refunds, E-Payables, correction vouchers, monthly/annual closing of accounts payable and travel sub-systems for the University and all related DSOs. Assists with developing, recommending and maintaining policies related to University Disbursement Services payment processing including check distribution.

Payment Processing: Supervises the processing of pay cycles for all business units, ensuring payments are correct and timely disbursed following preferred payment methods. Maintains all functions related to ACH and wire transfer payments to university vendors. Runs reports in Financial Gateway to ensure all payments have been cleared.

Monitoring: Maintains system integrity within the PeopleSoft Accounts Payable module and ensures compliance with UF policies and procedures. Assesses and maintains the university’s internal controls for purchases and disbursements. Performs post audit of all UF expenditures.

Leadership: Provides leadership for direct report(s) and student interns, including effective performance management, identification of training needs and professional development plans. Creates an innovative and continuous improvement focused environment by seeking out and encouraging ideas for process change. Actively supports and contributes to the CFO Division commitment to inclusive excellence.

Continuous Improvement and Documentation: Collaborates with the Associate Controller to review work processes for efficiency and effectiveness and recommends process improvements. Ensures documentation of all key processes for the relevant tasks, including contacts, common issues, questions, and timing.

Special Projects: Performs other duties as assigned or needed.

Expected Salary:

$61,000-$75,000

Minimum Requirements:

Bachelor’s degree in an appropriate area and four years of relevant experience.

Preferred Qualifications:

This position must be proficient in Microsoft Office.
