Responsibilities

Key Responsibilities:

  • Streamline and enhance office procedures for improved efficiency.

  • Coordinate and execute various administrative tasks. Manage executives' calendars, schedule appointments, and coordinate meetings. Ensure timely reminders to minimize scheduling conflicts.

  • Process purchase orders and invoices accurately and in a timely manner. Collaborate with vendors and internal teams to resolve discrepancies. Assist in monitoring and managing expenses within the allocated budget.

  • Liaise with vendors for the timely delivery of goods and services. Foster positive relationships with external partners.

  • Manage incoming and outgoing communications (emails, phone calls, and mail). Provide prompt and professional responses to inquiries and requests.

  • Welcome guests, clients, and vendors with professionalism and courtesy.

  • Organize and maintain physical and digital files for easy retrieval. Safeguard confidential information and ensure data integrity.

Qualifications:

  • Proven experience as an Administrative Assistant or in a related role.

  • Strong organizational and time management skills.

  • Excellent communication and interpersonal abilities.

  • Ability to multitask and prioritize tasks in a fast paced environment.

  • High attention to detail and accuracy.

  • Proficiency in English and Spanish (spoken and written). Ability to effectively communicate and collaborate in a bilingual/multilingual setting.
