This Opportunity
Individual will possess knowledge and experience in assisting project managers to manage service order work in the performance of a United States Army Corps of Engineers (USACE) Recurring Maintenance and Minor Repair (RMMR) task order. As a service order manager, the candidate would be responsible for oversight and coordination of service orders related to maintenance and repairs in the fuels program. Duties include understanding technical scopes of work; managing project coordinator processing of project packages in required timelines; invoicing work; maintaining records within a CMMS; coordinating amongst clients, contractors, site personnel and project team; developing service order reports to increase efficiency and quality; update trackers and participate in project team meetings.
Your Impact
Provide cradle to grave management of the service order process, consolidating efforts across multiple task orders. Provide guidance and support to project coordinators and other staff, when required.
Monitor service order statuses, update tracking documents, and ensure flow of information throughout the PMO and other management personnel. Resolve service order issues or delays, and/or escalate to PM, in order to maintain execution metrics and quality performance.
Provide assignment of specific tasks, sites, or resource-level project coordinator staff to project management for execution, when directed.
Conduct project coordination meetings to communicate metrics, priorities, and address any concerns. Collaborate and utilized teamwork to solve problems and increase cross-training of personnel.
Provide performance-related feedback to Project Managers when requested for reviews.
Maintain CMMS records for service orders, including subcontractor quotes, scope of work, status notes, etc.
Create CMMS reports on service order metrics as directed by the Government in performance work statements. Analyze data for trends, areas of concern, and prioritization of effort.
Liaise with clients and internal stakeholders for status updates on service orders. Coordinate with internal departments, contact external vendors or subcontractor partners to ensure GSA supplies-compliance and availability. Address customer issues or complaints in a timely and professional manner; escalate with management as necessary.
Evaluate and service order processes and workflows within the CMMS to enhance efficiency.
Collaborate with cross-functional teams to develop and implement best practices.
Provide subject matter expertise or consultation for high-visibility/emergent issues involving service order processes and fuel system repairs – and have the ability to articulate operational requirements of clients.
Verify/utilize GSA schedules to ensure contract compliance. Support project management team task order invoicing and accounting, as required.
Attend project update meetings, ensuring accurate lists and statuses for each service order assigned.
Other duties as assigned by management team.
Who You Are
Required Qualifications
Two years of project management, project coordination, or related experience in a technical field. (Project coordinator experience preferred.)
Bachelor’s degree. Associate’s degree in technical, business, project management field (or equivalent field), plus five years of relevant experience can substitute for an Bachelor’s Degree.
Proficient in MS Office suite of tools, including Word, Excel, Database, PowerPoint, and Project.
Ability to use/learn Quickbase, eMaint, MaintainX, Timberland and/or other software programs that manage information and schedules.
Strong leadership skills and possessing the ability to motivate and guide a team.
Must possess ability to read and interpret government contract language specified in Performance Work Statements (PWS), on firm-fixed price contracts.
Ability to use/understand basic accounting principles, as it pertains to invoicing and revenue.
Can work independently and is self-motivated; works well towards timelines and goals.
Has the ability to use mathematical concepts, including fractions, percentages, ratios, and proportions to practical situations; can conduct problem-solving.
Recognizes workload priorities and can manage time accordingly.
Proven ability to communicate, both written and verbally, for internal and external clients.
Able to react to dynamic situations and retain effectiveness.
Physical Demands:
This position requires the individual to use the computer working at a desk in either an office or cubicle; must be able to talk and hear, reach with hands and arms, lift 25 pounds, sit, stand, and walk, must have close and color vision, use depth and peripheral vision, be able to adjust focus.
Work Environment:

The typical noise level is moderate, business office with computers, printers, and light traffic. If required, field visits at construction and client sites may require employee to be exposed to outdoor weather conditions, electrical and fueling facility environments. It is expected that employees will wear hard hats, eye protection, hand protection, foot protection and other appropriate safety equipment as needed in the field.
Travel Requirements:
Occasional attendance at meetings and other on-site events at designated locations requires the ability to provide reliable transportation and maintain a current, valid driver’s license and proof of insurance. Position may require occasional travel to domestic locations. Access to federal installations or other secure facilities may require security badges and employee must be able to obtain basic security clearances.

Preferred Qualifications
Experience working on/with USACE projects is preferred.
Experience in the DoD/Civilian fuels or construction industry is preferred. Preferred experience includes two to five years’ experience with liquid fuel or water systems.
Preferred experience is contract administration or support experience related to General Services Administration (GSA).
