Description of Work Unit
The School of Music, Theatre, and Dance ( SMTD ) at Colorado State Universityempowers students to create, collaborate, innovate, and inspire. Through teaching, creative artistry, research, advocacy, and service,we elevate arts education. SMTD has 46 tenured and tenure-track faculty as well as 55 contract, continuing and adjunct faculty. There are currently over 550 students in SMTD , with 375 undergraduate and graduate students enrolled in residential and online music degree programs.
SMTD is housed in the University Center for the Arts, a nationally recognized state-of the art 350,000 square foot facility, that includes a 550-seat concert hall, a 275-seat organ and chamber music recital hall, a 320-seat thrust theatre, a 100-seat black box theatre, a 200-seat dance theatre, dedicated rehearsal, production and research spaces, along with classrooms, labs and practice rooms.

Position Summary
The Recruitment & Enrollment Coordinator is involved in all aspects of the School of Music, Theatre, and Dance’s undergraduate recruitment and is instrumental in advancing the school’s strategic enrollment plan. The Recruitment & Enrollment Coordinator is a critical face of the School and the first point of contact for prospective undergraduates, graduates, transfer students and their families. Working in conjunction with the College of Liberal Arts Recruitment and Enrollment Coordinator, the SMTD Recruitment & Enrollment Coordinator advises individual SMTD programs on best recruitment and enrollment practices and provides guidance to departments to achieve enrollment goals established with the Director of Communications, the Director of SMTD , and the program heads of dance, music, and theatre. The position works with CSU’s Office of Admissions and the CSU Office of Financial Aid to align the School’s recruitment goals with that of the College of Liberal Arts and University. The Recruitment & Enrollment Coordinator hosts recruitment events, including SMTD and CLA -specific events that accompany Admissions visit day programming, and organizes participation from departments and programs. The Recruitment & Enrollment Coordinator works with prospective students and families to inform about SMTD academic programs, connect them to department faculty, and to elucidate the school search process. The Recruitment & Enrollment Coordinator gathers and maintains data and develops and manages information systems to track recruitment efforts. As part of the enrollment portion of the position, the Recruitment & Enrollment Coordinator works with departments heads, and the area Recruitment and Retention Committees to determine effective yield and melt strategies. The Recruitment & Enrollment Coordinator collaborates with the Directors of SMTD in the process of distributing scholarships. As part of CSU’s land-grant mission, the position works to recruit from underrepresented populations, including students of color, women, LGBTQ , and first-generation students. The position also works to increase the enrollment of high-achieving undergraduates.
Required Job Qualifications
Bachelor’s degree
Excellent communication skills demonstrated by cover letter and experience in public speaking.
Ability to articulate, market, and advocate for the value of a performing arts degree (as demonstrated in the cover letter).
Must have a valid driver’s license or the ability to obtain a driver’s license or access to a licensed driver by the employment start date.
Preferred Job Qualifications
Bachelor’s degree or higher in student affairs, music, theatre, or dance, liberal arts, business, marketing, communications, or related area.
Demonstrated experience with engaged recruitment, admissions, enrollment and/or advising activities for prospective students including undergrad, graduate, transfer, HS students, etc.
Experience as a student performing artist OR work experience in a performing arts related field.
Demonstrated commitment to working with first generation students, students with high financial need, BIPOC students, and other underrepresented populations.
Spanish bilingual skills.
Proficiency using technology, such as Excel and Access, student information systems, such as Banner and Slate, and audition applications, such as GetAcceptd that contributes to a data-driven recruiting environment. Experience collecting data and using it to inform decision making.
Ability to show initiative and independence as well as ability to function well in an atmosphere that promotes teamwork, demonstrated by past work experience.

• Works with the director of the School of Music, Theatre, and Dance, SMTD division directors, and the director of communications, to establish the school’s annual strategic recruitment goals, including forecasts based on production/instrument/ensemble requirements and enrollment/retention fluctuations.
• Educate individual SMTD programs on best recruitment practices and provide guidance in achieving department-level recruitment goals.
• Work with the director of communications in SMTD to create, implement, and maintain School and division-specific messaging to prospective students and families.
• Collaborate with the SMTD communications team on recruitment materials, social media, and web content.
• Working closely with CSU Office of Admissions, align the School’s recruitment goals with that of the College of Liberal Arts and University and create a deeper understanding of SMTD’s programs across the University.
• Coordinate with CLA recruitment coordinator for SMTD’s involvement in CSU’s undergraduate recruiting events, including Office of Admissions-sponsored visit days and events.
• Plan School-specific programming for in-person and virtual visit days and other recruitment opportunities on and off campus.
• Plan, produce, and deliver presentations to prospective students and their families on-campus, regionally, and at designated national conferences.
• Working with the Access Center and the Office of Admissions, develop a plan to engage students from minoritized and underrepresented backgrounds.
• Develop and manage information systems to track recruitment efforts.
• Meet weekly with the director of communications and monthly with the CLA recruitment coordinator to review strategies, report on activities, and present analytics.
• Coordinate recruiting efforts with faculty members and foster effective lines of communication between CSU faculty and prospective students utilizing applicable technology and web-based portals.
• Provide guidance to and collaborate with program representatives on recruitment related initiatives in the school.
• Maintain knowledge of industry best practices through professional development.

• Serve as the School’s first point of contact for all prospective undergraduate students and families and contribute to decisions about how best to promote the School to students.
• Provide excellent and timely customer service to prospective students and their families including coordination of individualized visits that may include college and department tours, one-on-one meetings with faculty, and classroom visits.
• Be available to answer queries from students and families via telephone, email, and text during the workday and often during evenings and weekends.
• Maintain a thorough knowledge of the major requirements and courses offered for all programs within the school; ability to communicate facts without conjecture.
• Communicate the value of a performing arts education to a variety of constituents (e.g. students and their families, faculty, professional staff, and other stakeholders).
• Plan, schedule, and host Audition/Scholarship/Visit Days for SMTD . Audition Days take place on Saturdays and availability to work flexible hours is essential. Manage a complicated schedule of in-person and online auditions, with attention to area schedules, and venue availability. Coordinate all aspects of the event. Work with SMTD communications team, CLA recruitment coordinator, and Office of Admissions on the creation and distribution of promotional materials. Following audition and visit days, communicate with prospective students regarding their acceptance status in a timely manner. Direct and coordinate continued communication throughout the spring and summer in order to decrease melt rates.
• Attend recruitment events aimed at strategic and selective audiences (e.g. Admissions events, including Choose CSU , Transfer Student Day, and Honors; and regional performing arts panels and fairs).
• Assist with student-oriented events including Orientation, Ram Welcome, Homecoming, and Commencement.
• This position may have the opportunity to attend select music, theatre, and dance conferences on a regional and national basis as part of a team of faculty and staff. Opportunities are weighed against availability and timing that considers the overall workload and schedule of the School.
• Promote a positive image of the School by exhibiting a high level of professionalism, energy, and a friendly demeanor while meeting with prospective students/families.
• Interact with the College of Liberal Arts student ambassadors, in coordination with the CLA Recruitment & Enrollment Coordinator. Coordinate SMTD students to assist with division visit days. Develop and train SMTD students to assist with drop-in tours.

• Create and maintain a list of prospective students from local, regional, national, and international high schools and universities utilizing applicable technology and web-based portals (e.g., Slate, GetAcceptd, Slide-Room, Excel, etc.)
• Maintain records over multiple years (made available to faculty), which tracks progress and long-term data trends.
• Provide enrollment data for accreditation annual reports for NASM , NASD , and NAST (Higher Education Arts Data Services).

Coordinate with the College of Liberal Arts Development office, the SMTD Director, the Office of Admissions, and the Office of Financial Aid to gather private and institutional scholarship award amounts. Process award letters to new and continuing students. Submit private scholarship spreadsheet to the College of Liberal Arts Development office for processing. Enter institutional scholarships into the Financial Aid award system. Track awards quarterly with Financial Aid to ensure scholarships are accepted and paid.
