CSU Alumni Relations facilitates meaningful relationships between its 250,000+ alumni and the University. Using a combination of proven alumni engagement strategies and new, innovative approaches, the Alumni Association strives to celebrate the success of our alumni, build an emotional connection back to the CSU , and help alumni to identify connections that are meaningful to them. In addition, the Association also utilizes the Iris & Michael Smith Alumni Center to serve as a place of pride and home to alumni when they return to campus as well as a space to engage students.

The primary focus of Annual Giving and Membership ( AGM ) is to influence the overall donor count and increase membership revenue, while generating support for each college and unit on campus. Soliciting broad audiences of alumni, parents, faculty/staff, friends, and students, AGM generates gift revenue for a variety of funds for each division within Advancement. Using various methods of outreach including direct mail, email, digital strategies, and phone, donors are solicited strategically, and then presented with giving opportunities that align with their past giving, University affiliation, and interests. Centralizing annual giving and membership outreach provides value across the division and allows our colleagues to focus on major giving and pipeline development. In addition to traditional outreach, AGM conducts two large-scale days of giving each year, highly visible and engaging philanthropic events which, in addition to driving gifts, serves as effective entry points for new donors.

Position Summary

The Annual Giving Solicitation Manager ( AGSM ) is responsible for reviewing and approving mass solicitation requests for University Advancement and CSU partners in addition to helping plan and analyze all partner appeals while overseeing the division-wide calendar and appeal code process. Mass solicitations include any solicitation or situation in which multiple potential donors are involved and there is a donative component, including but not limited to: direct email, emails, crowdfunding, digital engagement center outreach including calling and texting, online giving pages, auctions, raffles, social media, event/conference sponsorships, event registrations with donative component, etc.

The AGSM will coordinate all mass solicitations alongside campus partners and review requests to ensure they align with existing solicitation strategies, i.e. that work is not being duplicated or that audiences are being over-solicited, and, when those situations arise, proposing reasonable and mutually acceptable alternatives. The AGSM also ensures that solicitation requests adhere to relevant regulations and policies.

The AGSM will be the inlet to mass solicitation process and will be expected to be familiar with each step of the solicitation process, ranging from approval to creation to execution. This will involve collaborating with various departments involved with the solicitation process, including Marketing and Communications (MarCom), Innovation Technology and Communications ( ITEA ), Constituent & Gift Information ( CGI ), and Annual Giving & Membership ( AGM ) as well as the Office of General Counsel ( OGC ) and Colorado State University Foundation ( CSUF ). This will also involve the creation and implementation of a new process for the intake of requests utilizing the new CRM , Salesforce, and administering appeal codes for tracking purposes. The AGSM will ensure that solicitations are properly moved through the various partner departments for list creation, design, scheduling, and review of final solicitation materials.

The AGSM will be expected to learn all relevant regulations and policies related to solicitation requirements and maintain a current working knowledge of any regulation changes. This position may also be asked to share upcoming changes or best practices with the division.

The AGSM will play an important role on the AGM team by assisting to develop broad solicitation schedules and strategy, establishing an annual planning period for colleges and units to make mass solicitation requests, and setting meetings and creating a form for requests, as well as developing a process in which results are tracked and shared with campus partners. The AGSM will work closely with the MarComm team to manage the solicitation calendar ensuring all communications efforts are synchronized.

The AGSM works independently and serves as expert resource in the interpretation and application of complex regulations and policies. The decisions made by this position have significant university-wide impact.

Required Job Qualifications

  • Bachelor’s degree from an accredited university by employment start date.

  • Minimum of two years’ experience, including internship or student employment experience, in an advancement services or database management role

  • Demonstrated ability to effectively work with diverse audiences.

  • Must have valid driver’s license or ability to obtain one by start of employment

  • Develop an annual planning process with campus partners to share AGM /central solicitation plans and identify opportunities for campus partners to integrate their mass solicitations through an annual formalized request period.

  • Assist with the solicitation process, ensuring solicitations are appropriately moved through the various partner departments for list creation, design, scheduling, and review of final solicitation materials.

  • Assist with managing budget for projects. This may include helping select paper type and quality for mailings, negotiating best price with vendors, and reworking concepts to fit within budget as needed.

  • Evaluate ad-hoc solicitation requests to ensure alignment with broad solicitation strategy and, if requests are misaligned, identify alternative options for schedule, audience, or messaging to better align solicitations with broad strategy.

  • Analyze solicitation results and performance, use information to create best practices for solicitations and share with campus partners as appropriate.

  • Create a streamlined process for campus partners to request solicitation approval to minimize turnaround time for appeal codes.

  • Confirm donor-facing materials (giving page, reply device, etc.) have consistent and clear messaging and follow UA & CSUF best practices.

  • Ensure mass solicitations result in funding that is in alignment with pertinent IRS regulations, state regulations, university policies and CSUF requirements.

  • Maintain up-to-date knowledge of rules, regulations, and best practices in the solicitation management field and ensure solicitation language and strategy adheres to applicable laws and regulations.

  • Track results of solicitations and any non-gift components of solicitations.
