Job Summary

Facilities and Operations is looking for an Administrative Assistant Intermediate who will be the first point of contact for Facilities and Operations. You will support the work order system and respond to customer inquiries on work order status and general questions.

You will report to the Business Operations Manager.

Responsibilities*
  • Be the first point of contact for the Facilities and Operations Call Center.
  • Calendar management; schedule meetings and other appointments/engagements
  • Enter work orders into the Computerized Maintenance Management System (CMMS)/work ticket system.
  • Set initial work order priorities and due dates based on tasks utilizing a predefined list of work priorities.
  • Respond to customer inquiries on work order status and general questions.
  • Follow up with customers to obtain additional feedback on negative surveys and provide info to the appropriate manager.
  • Provide and collect routine work order backlog reports to managers, group leaders and department leads.
  • Upload and file reports, invoices, and other documentation for the Facilities and Operations Department.
  • Schedule employees for physical and training sessions.
  • Create Marketsite POs, Vendor system POs, for the department.
  • Serve as backup for payroll functions as needed.
Required Qualifications*
  • High school diploma or equivalent
  • 2 or more years of relevant administrative experience to include customer service
  • Experience with Microsoft Office or Google Suite
