Job Description

The Operations Assistant Manager for the Associated Students of Northern Arizona University (ASNAU) performs varied advanced administrative work unique to ASNAU requiring initiative and independent judgment. The Operations Assistant Manager works independently and is specifically accountable to the ASNAU Executive Officers who establish the day-to-day priorities, while under general direction of Director of the Office of Leadership and Engagement. The Operations Assistant Manager is responsible for all fiscal, contract, procurement, travel, time management and other processes requiring action by a full-time employee. The Operations Assistant Manager also assists ASNAU Officers and Staff Members with official records and recommending of administrative policies and procedures. The Operations Assistant Manager will manage problems and non-routine situations by determining the approach or action to take and interprets guidelines, procedures, policies, and practices. The Operations Assistant Manager may have contact with high-level administrative offices and elected or appointed state officials, alumni or parents, requiring professionalism, strong communication skills, discretion, and strong judgment.

Student Support - 55%

  • Participates in planning, coordinating, and prioritized work activities for ASNAU front desk staff, and student staff.
  • Works with Human Resources and Career Development on the hiring process, job descriptions, and communications with ASNAU staff.
  • Creates and maintain current job descriptions, while supporting the hiring process of student employees.
  • Assists with the development and implementation of plans to resolve problems and enhance services.
  • Advisor of New Student Government and Thrift Jacks and aids in their programming and event planning.
  • Works with front desk staff to provide a welcoming environment.
  • Ensures adherence to established university and departmental policies and procedures, and objectives.
  • Successfully coordinates projects, as directed.
  • Evaluates higher-level processes and workflow, identifies inefficiencies, and works with management to develop solutions.
  • Provides administrative/secretarial support for the department such as answering telephones, assisting visitors, responding to generic inbox inquiries, and resolving and/or referring a range of administrative problems and inquiries.
  • Establishes, maintains, and updates files, databases, records, and/or other documents; develops and maintains data, and performs routine analyses and calculations in the processing of data for recurring internal reports.
  • Provides input and recommendations for improving office processes and provide student leaders and supervisor with ongoing feedback regarding student, parent and employee requests, issues and concerns.
  • Updates the ASNAU websit using WordPress and/or Gutenberg.

Budget/Finances - 30%

  • Manages individual & club funding processes, including working with the NAU Service Teams on payments, communications, receipt collections, etc.
  • Maintains unit documents such as personnel records, budget data and financial records.
  • Monitors and tracks ASNAU revenues and expenditures against annual budget of nearly \$1 million and share regular updates with ASNAU organizational leaders and co-advisors.
  • Maintains and reconciles budgets for ASNAU and performs simple analysis on accounts; authorizes payments within prescribed limits; makes recommendations for purchases. Works under the guidance of Student Affairs Financial Oversight team.
  • Manages all purchases made for ASNAU operations, including events, food, supplies, travel, and more.
  • Manages purchasing card purchases and reconciliations, and other personnel documents and functions as needed.
  • Leads facilitation of the Student Organization Room Reservation Fund.

Election Commission - 10%

Leads efforts with the NAU Votes Coalition, including recruiting, communications, facilitating meetings, and reporting on efforts.

Plans events in collaboration with the coalition.

Identifies opportunities to inform students of their voting rights and helps register students to vote.
