Summary This Program Support Assistant (PSA) is located within Social Work Service (SWS) and will function as an administrative assistant to the SWS Assistant Chief and SWS AO, which is aligned under the SWS organization. Incumbent participates actively in the management of SWS by performing a full range of administrative, program support, accounts payable, budget, purchase cardholder and miscellaneous clerical duties. Responsibilities Major duties include, but not limited to: Receives, reviews for completeness, and routes for approval health care placement material. Processes patient admissions/discharges to/from nursing home facilities using computer databases; monitors, tracks and documents patient movements. Generates authorizations for patient care in nursing home facilities. Audits monthly nursing home facilities invoices for completeness and accuracy, comparing and contrasting days billed against authorizations and patient movements; researches discrepancies identified, leads efforts to determine action needed, takes action needed within scope; accepts or rejects invoices, and forwards accepted invoices to the appropriate representative for certification. Initiates payments, maintains a worksheet, and monitors payments; identifies variances and effects controls and adjustments in a timely manner; generates reports, analyzes, tracks, and trends cost; participates in budgetary meetings with Fiscal. Researches and responds to inquiries regarding health care facility episodes of care, authorizations, invoicing, payments; compiles data for tracking and trending nursing home quality indicators; monitors and tracks facility quality oversight visits. Monitor/track credentials and licensing requirements for professional staff assigned to social work staff; coordinate, monitor and gather OPPE and FPPE for credentialed providers; completes the supporting quality data needed for these evaluations. Provides or coordinates employee on boarding services, such as: fingerprinting, sponsoring, travel, training, equipment issue, and training management account systems. Receives, reviews, and completes lodging consults; reviews lodging guidelines with patients/family members and makes lodging reservations with lodging vendor. Work Schedule: Monday to Friday 8:00am to 4:30pm. (Subject to change based on the need of the agency.) Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience, equivalent to the GS-6 level in the Federal service, that equipped you with the particular knowledge, skills, and abilities (KSA's) needed to successfully perform the duties of the position and that is typically in or related to this Program Support Assistant position to be filled. Examples of specialized experience would typically include, but are not limited to Experience receiving and auditing vendor invoices for completeness and accuracy; Experience comparing and contrasting criteria in contracts and policies; and data contained in multiple software applications; Ability to interpret and/or follow regulations, contracts and Medical Center Policy in completing task that support the delivery of patient care in the community; Experience retrieving, compiling, analyzing and tracking large amounts data and information contained in multiple systems and applications; Skilled in researching information and data relevant to inquiries from vendors, medical center and service line leadership such as completing required research and presenting findings; Experience creating, maintaining, and updating information databases. NOTE: This experience must be supported by your resume to be creditable.
