Farmingdale State College Administrative Coordinator - Tutoring Center in Farmingdale, New York

Farmingdale State College invites applications for a student-centered and dynamic Coordinator to join the Tutoring Center team. The Tutoring Center department oversees several academic success and tutoring initiatives on campus, including the Math Learning Center, Writing Center, and online tutoring (NetTutor & RamTutor). This newly created position will provide administrative support to the professional staff within the Tutoring Center department and assist with the management of the front desk operations and other administrative duties as assigned. This position reports to the Director of the Tutoring Center.

Specific Duties and Responsibilities:

  • Oversee the daily front desk operations of the Tutoring Center by managing the waiting room area and serving as the primary receptionist.

  • Greet visitors and check-in students for their tutoring or coaching appointment, academic success workshop/activity, or placement test.

  • Deliver outstanding customer service by handling incoming and outgoing correspondence, including phone calls, e-mails, and in-person inquiries.

  • Maintain appointment scheduling system and associated data collection, process in-take registration forms.

  • Aid professional staff with projects or reports requiring data entry and analysis.

  • Provide students with information on available academic success and tutoring services.

  • Provide general administrative and program support to the Director(s) and the Tutoring Center team; may also assist with providing support to the other departments within the Tutoring Center umbrella (e.g. Writing Center).

  • Support the professional staff with the planning, development, and execution of new or expanded activities, services, and workshops.

  • Coordinate work schedules and supervise student Reception Desk Attendants (work-study).

  • Assist the Director(s) with reviewing bi-weekly employee payroll and preparing appointment notices and timecards.

  • Help professional staff enforce departmental policies and procedures.

  • Serve as an alternate/backup Placement Test proctor and assist professional staff with functions of English and Math Placement Testing including data entry and communications with students.

  • Submit work orders for facility maintenance and technology-related issues.

  • Represent the Center by participating in campus-wide recruitment events, activities, class visits, and department outreach efforts.

Evening and weekend hours will be required as needed.

    Job Requirements:

MINIMUM QUALIFICATIONS:

  • Bachelor's degree in a related field awarded by May 2024.

  • Ability to multi-task and manage multiple projects at once.

  • Exceptional written, verbal, listening, and communication skills.

  • Excellent technology skills, with proficiency in Microsoft Office, Google Suite, and appointment scheduling systems.

PREFERRED QUALIFICATIONS:

  • Two or more years' experience working in a Tutoring Center or related student support service department in a higher education setting.

  • Experience working with student staff.

  • Graduate of Farmingdale State College.

    Additional Information:

This is a full-time UUP position.

  • For the first 10 working days, beginning Tuesday, April 30, 2024, and ending Monday, May 13, 2024, applications will be limited to UUP Farmingdale.

  • CLOSING DATE FOR RECEIPT OF APPLICATIONS: Wednesday, May 29, 2024

  • SALARY: $50,000 + $3,087 in downstate location pay = $53,087 Total Compensation.
