Department Summary

The College of Arts & Sciences (CAS) is a large and complex college that offers the core liberal arts and sciences curriculum at the University of Oregon. The research activity and reputation of CAS faculty is the basis for the UO’s status as a Carnegie Research I institution and a member of the Association of American Universities (AAU). All tenure-related faculty in CAS, across the Humanities, Social Sciences, and Natural Sciences divisions, are required to be engaged in an active research program and make original contributions to their respective fields of knowledge. To support these research programs, CAS units are responsible for managing approximately $55 million in research grants from federal, state, and foundation sources.

The CAS Grants Team is a grant and research support center that provides comprehensive services to CAS departments and programs across the three academic divisions. The CAS Grants team works closely with faculty principal investigators (PIs) as well as UO administrative officials, CAS Academic Support Unit associate directors, business managers, and affiliated organizations such as the UO Foundation -- to provide services in two main areas: 1) Pre-Award, and 2) Post-Award.

Position Summary

The Research Administrative Coordinator 1 (RAC 1) will be responsible for a broad set of assignments related to the CAS Grants Team’s research portfolio. The RAC 1 will perform administrative and/or financial duties, and provide faculty, researchers, and staff with guidance on financial, administrative, and regulatory issues arising from the application for and the execution of sponsored awards and agreements.

For pre-award support, the RAC 1 will assist Principal Investigators (PIs), including faculty, postdoctoral scholars, and graduate students, with the preparation, review and submission of proposals to a variety of federal and non-federal sponsors. RAC 1s advise PIs on the administrative requirements of funding opportunity announcements (FOAs), including eligibility, funding limitations, unallowable costs, etc., as well as UO policies and procedures for grant proposal submission, and provide significant support with the preparation of proposal budgets and budget justifications. They also respond to sponsor requests for additional information, such as Just-In-Time (JIT) requests, and assist PIs with requests for pre-award spending accounts.

Post-award support duties include but are not limited to tracking progress report due dates, preparing personnel reports, and coordinating with faculty and administrative team colleagues for reporting purposes. The role assists with sub-award management, including the timely preparation and submission of sub-award documents by tracking sub-award project end dates, and works with PIs, administrative team colleagues, and Sponsored Projects Services to initiate requests to sponsors i.e. rebudgeting requests, key personnel effort reductions, etc. RAC 1's assist with formal correspondence, forms, reports and documents to support PIs and the CAS Grants team, and work with UO financial and HR systems (FIS and HRIS) to confirm data and provide information/reports regarding budget and salary. They may support special projects such as tracking related to sponsored projects, deploying independent judgment to track and manage priorities for internal and external constituents.

There is a significant emphasis on budgeting, financial and accounting activity, and/or financial and operational monitoring in this position. The successful candidate will have a strong customer service focus, be able to work independently and as part of a team to meet shared and individual goals, and demonstrate the ability to be flexible, adaptable, and responsive.
