UPMC Front Office Coordinator/Surgical Scheduler in Erie, Pennsylvania

As we continue to grow, we are seeking a dynamic individual to join our team as a Front Office Coordinator/Surgical Scheduler.

In the scope of this position, you will play a pivotal role in ensuring the smooth functioning of our reception and clerical areas. You will oversee, coordinate, and provide the services necessary to maintain efficient operations and uphold our commitment to exceptional patient care.

Responsibilities:

  • Provides leadership in the management of front desk personnel to include organizing, evaluating and recommending changes in front desk operation.Effectively communicates with staff physicians and public. Demonstrates tact and diplomacy in communications. Assures patient confidentially with the appropriate release of medical records information.Registers and enters information into the computerized information system on all families/patients who register at the office. Monitors accuracy of staff using the system and keeps all staff updated on system modifications and problems.Files all completed medical records and pulls charts for visits and messages. Monitors and assures accuracy and timeliness of record maintenance.Receives, triages, and assists visitors, patients, and internal customers, assuring their needs are met or are referred to the appropriate resource. Also, assists in screening and problem solving customer service issues that present to that area.

  • Confirm patient appointments. Responsible for providing information to patients regarding preparation for tests, examinations and procedures as necessary. Responsible for entering, daily tracking and updating of scheduled items.Prepare charts and appropriate documentation as required by Physician, medical facility, surgical area etc. Maintain and disburse medical information in an organized manner. Maintain and update all Provider calendars for multiple areas if necessary utilizing IDX, Electronic Health Record, Meeting and Calendar applications. Demonstrates Hamot's commitment to service excellence by understanding the needs of patients, their families, physicians and co-workers and doing what is required the first time, every time by being responsible, sensitive, accurate, timely, coordinated and thorough.

  • Monitors facility appearance, requests for maintenance services, and up keep of department appearance. Takes responsibility of handling patient complaints/problems in conjunction with appropriate personnel.Evaluate, organize and schedule Physician requests for continuing patient care including consults, diagnostic testing, surgical procedures including pre and post operative requirements, and various types of patient education. Works independently to secure appropriate documentation including patient consent, insurance and medical necessity verification and authorizations; orders and any other forms as requested. Act as liaison between patient, physician, insurance carriers and other providers as needed. Effectively communicates with staff, physicians and public. Demonstrates tact and diplomacy in communications and assures patient confidentiality with the appropriate release of medical records information.

Graduate of a two year Business School with two years of related experience

or High school graduate, or equivalent, with 4 years of related experience
