Lake Erie College Of Osteopathic Medicine (LECOM) Assistant Registrar - Student Records Specialist in ERIE, Pennsylvania

JOB SUMMARY: Responsibilities include handling registration, maintaining the integrity of students' personal information and academic records and assisting with financial aid. Participating in the implementation of student management programs, including testing programs with different student populations. Being a part of commencement activities also belongs to the incumbent, including providing resources on graduation and degree requirements. The assistant registrar interviews parents, faculty and students with special requests related to admission and registration. She/he may have to hold counseling sessions with students at the time of registration or during the course of the academic year. Issuing transcripts, grades or clearing Social Security Number, verification of enrollment, loan deferments, insurance forms or issuing background checks are examples of daily responsibilities. In addition, research duties may be performed in the way of data entry and archiving files or transcripts.

CHARACTERISTIC JOB TASKS AND RESPONSIBILITIES:

  • Assist the registrar in managing the Registrar's office and maintaining student records;
  • Develop and administer operational policies and procedures relating to grade sheets and grade reports for final production and distribution;
  • Advise and consult with administration and management regarding problems associated with the Registrar's office; 
  • Resolve problems regarding academic student records;
  • Serve on school committees as required or needed;
  • Assist with the organization of aspects of the office of the Registrar;
  • Assist with assessment processes;
  • Assist with aspects of financial aid;
  • Participate in the organization of LECOM ceremonials;
  • Participate in service unit goals setting and continuous improvement;
  • Such other duties as may be required from time to time by the Registrar and/or his/her designee;
  • Document completion of training of tasks and responsibilities
  • To provide administrative support to standing and ad hoc committees as required by the Registrar;
  • Establish and maintain effective working relationships;
  • Knowledge of the protocols and procedures in Institutional education; 
  • Act with integrity, honesty and knowledge that promote the culture, values and mission of LECOM;
  • Maintain a calm demeanor during periods of high volume or unusual events to keep operating to standard and to set a positive example for the overall department;
  • Maintain regular and punctual attendance;
  • Contribute directly to the Mission of LECOM embodying the essence of Osteopathic Principles and Practices by assisting with Institutional fundraising and participating in the LECOM Scholarship Auction;
  • Participate in scholarly activity so to enrich and broaden the student learning experience;
  • Commit to being a representative of LECOM by being actively involved in the community, including, but not limited to, serving on Boards, participating in community fundraisers and overall outreach; and
  • Perform other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the Institution.

     MINIMUM QUALIFICATIONS:

  • Education and experience equivalent to: a Bachelor's Degree is required.  Previous educational or similar experience preferred.  Experience handling student records and working with Banner or similar educational software is highly preferred.
